Job description

The Order Operations Specialist is responsible for the accurate and timely entry of customer orders into the company's ERP system as part of a centralized order intake function. This role owns the integrity, completeness, and readiness of order data, ensuring all downstream teams can execute efficiently without delays, errors, or rework.

The Order Operations Specialist will initiate orders in a 'Hold' status upon entry. This serves as a critical quality control gate, allowing Account Managers to perform a final verification of order details before the Specialist or Manager releases the order for downstream processing.

Operating in a high-volume, fast-paced environment, this position plays a critical role in translating order documentation into structured, production-ready data across retail, web store, and tour merchandise programs.

This role works cross-functionally with Account Managers and internal departments; however, it is not responsible for account management, quoting, direct customer communication, or ordering unless a specific account is assigned at managers discretion. Its primary focus is operational accuracy, process efficiency, and data quality.

This position participates in a quarterly bonus program based on volume and performance metrics.

Key Responsibilities

Order Entry & Data Accuracy

  • Enter all new orders into the ERP system with an initial 'Hold' status; collaborate with Account Managers to review accuracy and ensure all holds are released only after formal verification.

  • Accurately enter customer orders into the ERP system (Shopworks/FDM4) within established turnaround times and service level expectations (SLAs).

  • Translate order documentation-including purchase orders, sales orders, and intake forms-into complete and structured ERP entries.

  • Verify all required order details prior to entry, including styles, colors, sizes, quantities, decoration specifications, pricing, and ship dates.

  • Ensure all entered orders meet internal standards for production readiness and execution.

Order Intake & Quality Control

  • Review incoming order documentation for completeness, accuracy, and clarity before processing.

  • Identify missing, conflicting, or unclear information and route back to the appropriate intake source for resolution prior to entry.

  • Maintain consistency in data formatting, naming conventions, and system standards to ensure clean downstream workflows.

  • Support bulk uploads, recurring program orders, and high-volume intake across multiple sales channels.

ERP System Maintenance

  • Set up and maintain customer records, item masters, and pricing structures in the ERP system as needed to support new and existing programs.

  • Ensure data integrity across all ERP records, minimizing duplication, errors, and inconsistencies.

  • Generate and distribute order acknowledgments, work orders, and system documentation to relevant internal teams.

Cross-Functional Coordination

  • Collaborate with internal departments (sales, art, production, outsourcing, and shipping) to ensure orders contain all required information for accurate execution.

  • Accurately capture vendor-specific requirements for outsourced services (e.g., dyeing, washing, relabeling, embroidery, heat transfer).

  • Support resolution of order discrepancies identified during production or shipping by researching ERP records and facilitating corrections.

Workflow Optimization & Operational Support

  • Manage multiple order queues simultaneously, prioritizing workload based on deadlines, volume, and business impact.

  • Maintain organized tracking of incoming orders, processed entries, and pending items to ensure full visibility and traceability.

  • Identify opportunities to streamline workflows, improve data accuracy, and increase efficiency across the order intake process.

  • Participate in internal meetings focused on process improvement, workflow optimization, and data quality initiatives.

  • Maintain performance during peak operational periods (tour launches, retail cycles, web store drops) while meeting accuracy and speed expectations.

Role Scope

  • The position operates as a centralized order intake and data management function, supporting multiple internal stakeholders while maintaining clear ownership of order entry and data accuracy.

Requirements

Do you have experience in Teamwork?, Do you have a High school diploma or GED?, * High school diploma or equivalent required.

Experience

  • 1-2 years of experience in data entry, order processing, customer service, or production coordination.

  • Experience within screen printing, apparel manufacturing, or related industries strongly preferred.

  • Prior experience with ERP or order management systems required; FDM4 experience highly preferred.

Skills & Competencies

  • High level of accuracy and attention to detail when handling large volumes of data.

  • Strong understanding of garment specifications, decoration methods, and production terminology.

  • Excellent organizational and time management skills, with the ability to manage multiple priorities under tight deadlines.

  • Clear and professional written and verbal communication skills for internal coordination.

  • Strong accountability and follow-through in meeting daily performance expectations.

  • Proficiency in Microsoft Office, Google Workspace, and ERP systems.

  • Ability to quickly learn new systems, processes, and workflows.

  • Proactive, solution-oriented, and team-focused mindset.

Work Environment

  • Fast-paced production and office environment with high-volume workflows and frequent cross-functional communication.

  • On-site role during standard business hours.

  • Occasional extended hours during peak operational periods (e.g., tours, retail launches, holiday cycles).

Physical Requirements

  • Ability to remain seated for extended periods while performing computer-based work.

  • Frequent use of a computer, keyboard, and monitor requiring visual attention to detailed information.

  • Occasional lifting of boxes or sample garments up to 25 lbs., * Screen Printing and Full Circle: 2 years (Required)
