Job description

Position reports to the Epic Director.

Complete training and serve as software administrator for assigned software, including, but not limited to, HealthStream, Zoom, Kronos, Jot Form, Rightfax and Sharepoint, which would include services such as setting up security for users. Manages EpicCare Link onboarding for non-clinic-based requestors such as payors and auditors. Owns the onboarding and validation for appropriate access of Epic Non-Disclosure Applications with operations and IT/Epic Security teams. Manages Epic Survey program by creating/maintaining department surveys as well as publishing results to represent outcomes to Epic leadership. Handles initial verification of onboarding students to ensure proper documentation has been submitted for upcoming rotations.

Oversees the Telecommuting program for the Epic Department, including agreement administration. The Epic Coordinator is responsible for coordination of the Epic Certification Program for the department, including the continued education requirements, including scheduling or providing official proctoring services necessary to support testing requirements. Responsible for Staff Education/Competencies related to departmental policies/procedures and essential workflows for day-to-day work for both new hires and established analysts. Provides CMIO with support and assistance in coordinating the Epic Physicians Advisory Group, handling associated contracts and subsequent timesheets from group members.

Coordinates updates to the department intranet page. Provides oversight and scheduling of on-call rotations for various application teams. Coordinates department time-keeping requirements with managers/directors for each pay period. Coordinate department updates/reporting out of databases, spreadsheets, processing invoices/requisitions, developing and maintaining electronic documents, and supply ordering. Handles facility needs for the department, including scheduling/assisting with special events/activities. Manages certification database for monitoring and maintaining staff certification requirements. May serve as a liaison on various committees/workgroups throughout our organization. Provides support to the Administrative Secretary as necessary. Other duties as assigned by the department director.

Performance Expectations:

Performance expectations will be covered in the orientation and preceptor phases of your orientation to your job.

  • Manage daily software security requests for users.
  • Process EpicCare Link agreements to onboard user requests timely.
  • Process NDA and communicate approvals for Epic access.
  • Create, distribute and report on surveys per requested timeline.
  • Successfully verify prerequisite paperwork is valid for student access request to Epic.
  • Process telecommuting agreements for onboarding analyst.
  • Proctor scheduled certification sessions.
  • Assign and validate staff education courses for onboarding and continued education.
  • Provide an adequate level of supplies for staff.
  • Process EPAG sessions, contracts and time log check requests.
  • Successfully update/verify timecards.

Requirements

Do you have experience in Typing?, Do you have a High school diploma or GED?, High school diploma required - BS degree preferred, or equivalent work experience. Ability to learn new concepts and apply them to daily tasks. Detailed oriented, strong analytical, organizational and problem-solving skills. Ability to troubleshoot, investigate and solve issues related to the technical components of the system.

Work Experience:

Five or more years' experience in a decision support role, or equivalent, for an IT-based environment. Must have a working knowledge and experience of data processing systems and data analysis. Organization ability and strong communication skills are required. Multitasking capability a must.

Mental Demands:

Exceptional oral and written skills are required to relate effectively to hospital and medical staff. The individual must have the ability to type and be familiar with the rules of spelling, grammar, and punctuation. The individual must have the ability to use a computer display station, copier, telephone, personal computer, and calculator. Working knowledge of medical terminology is necessary. The individual must have a high energy level and be capable of handling pressure situations both mentally and physically. This individual must have learning skills to take on knowledge for software, workflows and other duties. Must be able to perform assignments to support the design and analysis of clinical and business needs.
