Job description

Bodenvy is hiring a Technical Operations Specialist to keep our systems running across all locations and lead the technical setup for every new franchise we open. This is a hands-on builder role, not a vendor management role. You'll program HubSpot workflows, build and maintain API integrations, troubleshoot the tools our teams rely on every day, and own the full technical onboarding of every new Bodenvy that opens. We move fast. New locations open regularly. Systems break. Things change. We need someone who can hold multiple priorities, communicate clearly, and execute without dropping steps in long checklists. This is a full in-person role at our Maitland, FL headquarters - 5 days per week. Not remote, not hybrid. Core Responsibilities HubSpot Workflow Programming

  • Build, edit, and maintain HubSpot workflows - lead nurture, client communication, offer campaigns, location-specific routing, long-term sequences

  • Program conditional logic, branching, delays, and triggers that make workflows actually work end-to-end

  • Add new franchise locations into existing workflow structures as we open them

  • Maintain CRM data hygiene - properties, lists, segmentation, deduplication

  • Diagnose and fix workflows that aren't firing or behaving as expected

API & Integration Work

  • Build and maintain API connections between HubSpot, Mindbody, and the other tools in our stack

  • Configure paid media API connections inside our marketing automation systems

  • Use direct API calls and integration platforms (iPaaS, no-code/low-code automation) depending on what fits the use case

  • Troubleshoot broken integrations - read logs, isolate root cause, fix it, document the fix

IT Tickets & Troubleshooting

  • Resolve IT tickets across all locations covering HubSpot, Mindbody, Microsoft 365, communication and call-handling tools, knowledge management tools, sales kiosks, and any other tools the team relies on

  • Diagnose issues across multiple SaaS platforms and figure out which system is actually the problem

  • Maintain documentation of recurring issues and known fixes

New Franchise Location Onboarding Lead the full technical setup for every new Bodenvy location that opens. Each new location requires configuration across many systems, including:

  • Mindbody setup (including merchant account)

  • Microsoft 365 setup (accounts, mailboxes, licensing, access)

  • HubSpot setup - adding the location into all relevant workflows and CRM structures

  • AI messaging and communication tool setup

  • Integration platform configuration for the new location

  • Intake form system updates, * Coordinating hardware installation with our third-party IT vendor

Internal Team User Management

  • Onboard new internal team members - accounts, access, tool provisioning

  • Offboard departing team members - clean removal of access across all systems

  • Update permissions as roles change

Requirements

Do you have experience in Systems & applications support?, * 2+ years in IT operations, technical operations, marketing operations, or a similar systems-heavy role

  • Hands-on experience with HubSpot or a comparable CRM/marketing automation platform - workflows, lists, properties, forms, integrations. HubSpot strongly preferred. Comparable platforms include Salesforce, ActiveCampaign, Klaviyo, Zoho, and others at real depth.

  • Real experience building and maintaining API integrations using direct API calls and integration platforms (iPaaS / no-code / low-code automation)

  • Comfortable troubleshooting across multiple SaaS tools - Microsoft 365, scheduling platforms, CRMs, and communication tools

  • Excellent attention to detail - you don't drop steps in multi-part SOPs and you can hold long onboarding checklists in your head without things slipping

  • Strong written communication for documentation and cross-team coordination

  • Proactive and self-directed - you flag problems and fix them without being told

  • Comfortable juggling multiple priorities at once - IT tickets, new location setup, and workflow work will all be live at the same time

Important: You must have personally built and maintained the systems on your resume. This is not a vendor-management role. Big Plus (Not Required) Coding ability is a major plus for this role. If you can read code, write scripts, and work with APIs in Python, JavaScript, or a similar language, say so up front. Even if it's just personal projects or scripts you've written to make your own work easier - we want to hear about it. Bonus

  • Conversion tracking and attribution experience - UTMs, GTM, GA4, pixel setup, offline conversions

  • Experience with Mindbody

  • Experience with call-handling, AI messaging, or other multi-location SaaS tools

  • Franchise or multi-location service business background

  • Experience setting up new locations from scratch (not just supporting existing ones), * Must be authorized to work in the U.S.
