Job description

The SharePoint Administrator is responsible for maintaining, supporting, and optimizing SharePoint and associated Microsoft 365 applications to ensure system integrity, performance, and security. This role combines technical expertise with project management capabilities to support organizational initiatives.

The incumbent serves as a bridge between business stakeholders and technical solutions, understanding business needs, translating them into actionable SharePoint solutions, and managing implementation through completion. This position also plays a key role in communicating complex technical concepts and SharePoint functionality to end users in a clear and concise manner.

Supervision Level:

  • This position is assigned to the Shared Services department and reports to the Finance Manager.

Responsibilities:

Application Configuration and Maintenance:

  • Install, configure, and maintain SharePoint Online and related Microsoft 365 applications.
  • Perform system updates, patches, and User Acceptance Testing (UAT).
  • Monitor system health and performance, troubleshoot and resolve issues.
  • Optimize SharePoint environments for reliability, scalability, and efficiency.

Project Management & Business Analysis:

  • Engage with business stakeholders to gather, analyze, and document requirements.
  • Translate business needs into actionable SharePoint solutions, workflows, and system enhancements.
  • Manage multiple SharePoint-related projects simultaneously, ensuring alignment with timelines, scope, and organizational goals.
  • Develop project plans, track milestones, and communicate progress to stakeholders.
  • Ensure deliverables meet business requirements and compliance standards.

User Management:

  • Manage user accounts, permissions, and access controls.
  • Create and manage user groups, roles, and permission structures.
  • Ensure adherence to security best practices and protection of sensitive data.

Content Management:

  • Design, create, and manage, SharePoint sites, libraries, and lists.
  • Organize and maintain content.
  • Implement version control and document approval workflows.
  • Maintains documentation of IT infrastructure, processes, and troubleshooting procedures.

Customization and Development:

  • Customize SharePoint sites, pages, and user interfaces to meet business needs.
  • Develop and deploy custom workflows and solutions.
  • Implement branding and improve user experience across SharePoint environments.

Integration and Migration:

  • Integrate SharePoint with other enterprise systems and Microsoft 365 tools.
  • Plan and execute data migrations from legacy systems.
  • Validate and test migrated data.

Backup and Recovery:

  • Perform routine of SharePoint environments and configurations.
  • Develop, maintain, and test disaster recovery plans.
  • Restore systems in the event of failures and/or data loss.

Training and Support:

  • Provide training and ongoing support to end users to maximize SharePoint adoption and efficiency.
  • Develop user guides, documentation, and knowledge base resources.
  • Troubleshoot and resolve user issues and inquiries.

Compliance and Governance:

  • Enforce governance policies, standards and best practices within SharePoint.
  • Monitor system usage, compliance, and data lifecycle management.
  • Ensure adherence to data retention, security, and regulatory requirements.

Performance Monitoring and Optimization:

  • Monitor system performance and resource utilization.
  • Identify and resolve bottlenecks and inefficiencies.
  • Continuously improve system configurations to enhance performance and user experience.

Security and Access Control:

  • Implement and maintain security protocols and access control measures.
  • Conduct security audits and vulnerability assessments.
  • Stay current on emerging security threats and mitigation strategies.

Collaboration and Communication:

  • Facilitate collaboration and communication among end users.
  • Promote best practices for document sharing and team collaboration.
  • Support teams in leveraging SharePoint as a project management and collaboration platform.
  • Performs other duties as assigned.

Requirements

San Diego, California. Candidate must currently reside in the San Diego County region or must be willing to relocate within sixty (60) days of hire.
