Job description
The Payment Operations Analyst is responsible for overseeing the end-to-end performance, accuracy, and continuous improvement of the company's payment processing workflows. This role ensures that all homeowner, amenity, miscellaneous, property conveyance, and collections payments are processed efficiently, compliantly, and consistently across teams and locations - including coordination with our Plano HQ and Low-Cost Location (LCL) partners. As the primary subject matter expert for assigned payment processes, this role drives operational strategy, maintains process documentation, monitors KPIs, and partners closely with internal teams and external vendors to resolve issues and enhance service quality. Success in this role requires strong analytical thinking, exceptional communication, and a proactive approach to optimizing processes that support HOA operations and homeowner experience., * Assist in day-to-day Operations tasks including, but not limited to, maintenance and internal audits, as needed
- Consistently learning various Operations' tasks to act as the backup or supplemental support, as needed
- Work with payments processors and other supporting vendors to resolve issues
- Responsible for resolving problems of low to moderate complexity
- Proactively suggests better approaches, processes, or methodologies to optimize project and process outcomes
- Maintain daily, weekly and monthly KPIs and review QA results from monthly audits
- Build and maintain positive relationships with internal team members and stakeholders
- Ability to operationalize and transition new processes for Operational scalability to Low-Cost Locations
- Serve as the Subject Matter Expert (SME) and Process Owner for core HOA payment processes (e.g., homeowner payments, amenity payments, conveyance checks, collections).
- Provide regular training to team members and stakeholders, which could include internal team training.
- Ability to create and maintain process documentation / Approval by Manager/Leader
- Conduct a regular cadence of meetings with LCL counterparts if needed
- Create, update, and maintain process documentation, SOPs, and workflow guides; secure Manager/Leader approval as required.
- Continuously expand knowledge of HOA payment operations, systems, and products to support broader team needs and serve as a reliable backup for other operational tasks.

Requirements
- High School Diploma or equivalent work experience is required
- 1-2 years of experience in operations
- Basic to intermediate knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work after regular business hours as needed to guarantee deliverables are met
- Proficient in oral and written communication
- Decision making, time management and organizational skills

- Problem solving skills, * Preferred bachelor's degree majoring in Accounting, Computer Science, Finance, Information Science, Business Management, or similar field
- Experience with BPO (Business Process Outsourcing) environments
- Experience with SharePoint, and MS Teams
- Experience within the HOA (Homeowners Association) industry
- Experience with partner banking portals is desired
Physical Requirements
- Ability to sit for prolonged periods at a desk and work on a computer.
- Ability to occasionally stand, walk, bend, or reach as needed.
- Ability to lift or move objects up to 10-15 pounds (e.g., files, office supplies).
- Manual dexterity to operate a computer keyboard, mouse, telephone, and other office equipment.
- Visual acuity to read printed materials, spreadsheets, and computer screens.
- Hearing and speech ability to communicate effectively in person, by phone, and in virtual meetings.
- Ability to work in a standard office environment with moderate noise levels.
- Ability to work a standard schedule, with occasional extended hours as required
Benefits & conditions
$55,000r to $65,000 ammually, depending on education and experience.
