Job description

  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Assist with data entry and updating records using software such as QuickBooks and Google Workspace
  • Support front desk operations, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
  • Handle clerical tasks such as photocopying, proofreading documents, and preparing correspondence
  • Manage calendar appointments and coordinate scheduling for team members or clients
  • Support basic bookkeeping activities, including invoice processing and expense tracking
  • Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs

Requirements

Do you have experience in State tax?, Again if you have ran a front desk answering phones and shuffling paper work thats great but this position is a lot more than that. You need 5- 10 years of experience and prove you can do run all the behind the scene numbers. We do not want to train anyone to do this., * Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools

  • Experience with QuickBooks or similar accounting software preferred
  • Excellent organizational skills with keen attention to detail and accuracy in filing and data entry
  • Effective phone etiquette and experience managing multi-line phone systems in a professional setting
  • Bilingual abilities are a plus for communicating with diverse clients or team members
  • Previous office management or clerical experience is highly desirable
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Ability to proofread documents carefully and maintain high standards of accuracy
  • Familiarity with office equipment such as printers, scanners, and fax machines is beneficial
  • Personal assistant or administrative support experience will be considered an asset
