Job description

Key Responsibilities: Winning in this position means proactively managing administrative responsibilities for your assigned communities while collaborating with onsite and regional leaders to drive performance and consistency.

  1. Application & Lease Processing
  • Lease compliance checks:
  1. For any bond communities

  2. Lease files for payment of commission and regular file audits

  • Entry of approved concessions in Entrata
  1. Rent Collection & Delinquency Management
  • Oversee an Elise-enabled approach to collections and delinquency
  • Oversee strategy to go to fully paperless payments
  • Monitor daily delinquency reports and ensure proper follow-up via phone, email, and notices
  • Post NSF fees, balance notices, and initiate legal notices as needed
  • Manage ledgers for accuracy and escalate accounts per collections protocol
  • Complete Financial Move-Outs (FMOs)
  1. OSM's will finalize FMO's
  • OSM's will direct appropriate files to Jetty and/or Hunter Warfield for claims
  1. Manage collections via Hunter Warfield

  2. Lease Renewals

  • Oversee an Elise-enabled approach to renewals
  • Prepare and issue renewal offers
  • Monitor expiring leases and track renewal decisions
  • Coordinate with Community Managers on renewal campaigns and retention strategies
  • Ensure accurate pricing and documentation within Entrata
  • Manage the timely execution of renewals
  • Proactively send renewals to residents that haven't given an answer 65 days from expiration at the best available offer/lease term.
  1. HAP / Section 8 Management (select portfolios)
  • Submit move-in and move-out paperwork to appropriate housing authorities
  • Process rent adjustments and voucher renewals
  • Maintain communication with HAP/Section 8 coordinators to ensure compliance
  • Track receivables and reconcile payments with property accounting
  • Audit HAP ledgers monthly in accordance with the new HAP audit policy
  1. Accounts Payable Live by Advenir Azora's Team Member Non-Negotiables
  • Oversee submission of new vendors for credentialing and any necessary communication
  • Track vendor payment status and alert the appropriate team member of concerns
  1. Resident Notices & Communication
  • Draft, review, and issue notices for rent delinquency, renewals
  • Ensure all notices are properly documented in Entrata and comply with state law
  • Insurance compliance and related communication
  1. Reporting & Admin Support
  • Generate monthly collections reports
  • Assist with audits, compliance reviews, and property transitions
  • Maintain resident files and ensure data accuracy in all systems
  • Monthly reclasses and accruals
  • Complete Accounting Month-End/AR Advance

Requirements

Do you have experience in Vendor management?, * Strong bookkeeping and accounting skills

  • Understanding of AI-enablement for collections, renewals, resident communication
  • Clear communicator and strong collaborator
  • Entrata proficiency required
  • Highly organized and systems-oriented
  • Detail-focused with a heart for service
  • Adapts to changing priorities and team needs

  • Strong Excel and MS Office capabilities

Preferred Experience

  • 2+ years of experience in multifamily operations, accounting, or centralized services
  • Strong renewal, collections, reporting experience
  • 1+ year Entrata experience required
  • Jetty and Hunter Warfield experience preferred
  • Experience with HAP/Section 8 programs a plus
