Job description
The CRM and Development Coordinator serves as the administrative and operational backbone of Team Gleason's Development team. The CRM and Development Coordinator owns the day-to-day execution of development operations, including gift processing and deposits, mailings, donor acknowledgements, records management, meeting and planning support, and general Development office administration., 1. Gift Processing, Deposits, and Records Management
- Process all incoming gifts including checks, online donations, pledge payments, and stock notifications (in coordination with Development Manager)
- Prepare and reconcile deposits accurately and on schedule
- Scan, file, and maintain organized digital and physical donor records
- Maintain documentation for gifts, pledges, and donor correspondence
- Development Manager will ensure compliance
- Donor Acknowledgements and Stewardship Execution
- Generate and send donor acknowledgements promptly
- Track acknowledgement completion and donor recognition in the CRM
- Support execution of stewardship initiatives and donor appreciation efforts
- Work in coordination with Development Manager on event and campaign acknowledgements
- CRM Execution and Data Hygiene
- Enter contact updates, donor interactions and activities from leadership into the CRMs
- Apply attributes and affinity groups as defined by the Development Manager
- Maintain clean, accurate, and up-to-date donor records
- Development Office and Administrative Support
- Support needs of the Chief Development Officer as assigned including meeting preparation, scheduling, expenses and travel
- Answer incoming Development-related phone calls
- Monitor and respond to the general Development inbox
- Maintain Development filing systems (digital and physical)
- Order and maintain Development supplies, including letterhead, donor materials and general office supplies
- Meeting, Planning, and Committee Support
- Take meeting notes and track action items for Development Meetings
- Support Planning Committee and Board Development Committee preparation
- Compile and distribute materials in advance of meetings
Requirements
- 2 years of experience in nonprofit development, fundraising operations, or administrative support
- Strong attention to detail and follow-through
- Excellent organizational and time-management skills
- Experience working with CRM systems and reporting tools
- Ability to manage multiple priorities in a fast-paced environment
