Job description

We are seeking a highly skilled GoHighLevel (GHL) CRM & Automation Specialist to design, build, and optimize a fully automated CRM system for our business development and project tracking operations.

The ideal candidate will be responsible for structuring our CRM, integrating communication systems, and building automated workflows that connect leads, contacts, projects, and follow-ups into a single streamlined system.

Key Responsibilities

CRM Setup & Structure

  • Build and configure GoHighLevel CRM from scratch
  • Design pipeline structure (Leads * Pursuits * Proposals * Active Projects * Closed)
  • Set up custom fields, tags, and segmentation rules
  • Organize contacts, companies, and project tracking structure

Automation & Workflows

  • Create automated workflows for lead follow-ups and nurturing sequences
  • Build trigger-based automations (status changes, new leads, reminders)
  • Set up internal notification systems for pipeline movement
  • Automate data entry and record creation where possible

Email, SMS & Communication Systems

  • Configure email domains, subdomains, and sending infrastructure
  • Set up cold email and outbound marketing systems (if required)
  • Build SMS and email sequences for outreach and follow-up campaigns
  • Ensure deliverability best practices (SPF, DKIM, DMARC setup)

Phone System Integration

  • Set up VoIP/call tracking system inside GoHighLevel
  • Connect phone numbers, routing, and call logging
  • Enable call recording and CRM activity tracking

Landing Pages & Lead Capture

  • Build landing pages, forms, and funnels for lead generation
  • Connect forms directly into CRM pipelines
  • Ensure automated assignment and tagging of incoming leads

Integration & Optimization

  • Integrate email, calendar, and external tools (if required)
  • Clean and structure data migration from existing systems (e.g., Podio, Excel)
  • Continuously optimize workflows for efficiency and scalability, Deliverables
  • Fully configured GoHighLevel CRM system
  • Automated pipeline and workflow structure
  • Connected phone + email + lead capture system
  • Documented system architecture and process flow
  • Training / handover session for internal team

Pay: $18.00 - $20.00 per hour

Requirements

  • Strong knowledge of CRM architecture and sales pipelines
  • Experience setting up automation workflows and integrations
  • Understanding of email deliverability (SPF/DKIM/DMARC)
  • Experience with VoIP/call tracking systems
  • Ability to translate business processes into automated systems

Preferred Experience

  • Background in construction, real estate, or project-based industries
  • Experience migrating from Podio, HubSpot, or Salesforce
  • Knowledge of outbound email marketing systems
  • Experience building CRM systems for business development teams
