We are a small but growing, mission-driven business supporting families through pregnancy, birth, and early postpartum. We are also expanding our programs and client offerings under a busy entrepreneur and business coach. We're looking for a highly organized,tech-savvy, emotionally intelligent, and proactive Virtual Assistant to support both day-to-day operations and client-facing systems., This position serves as the operational backbone of the business. You will support the owner, team, and clients with administrative management, systems organization, marketing support, and event coordination.
You'll be responsible for keeping systems organized, communication flowing, and operations running smoothly across multiple platforms. This role requires someone who is proactive, highly detail-oriented, tech-comfortable, and able to manage multiple priorities independently.
Time Commitment: 10-15 hours per month (flexible scheduling, consistent output required)
Key Responsibilities Operations & Administration

Manage day-to-day administrative tasks (including daily inbox review & responses)

Calendar management (personal, client, and marketing calendars)

Client scheduling and appointment coordination across multiple calendars

Maintain internal systems, workflows, and SOPs

Task and project management (Asana, Trello, ClickUp, or similar) Client Enrollment, Onboarding & Relationship Support

Preparing and delivering proposals to prospects

Client communication and relationship management support

Client data management and tracking (payments, participation, onboarding, etc.)

Customer service and client follow-up Program Support

Program and membership support
-
Portal management Marketing & Systems Support

Support email marketing campaigns (segmentation, tagging, scheduling, basic builds)

Assist with marketing timelines and campaign coordination

Support for funnels, landing pages, and CRM tools, working w/marketing lead

Website or landing page updates as needed

Support social media manager when needed Financial & Operational Tracking

Accounts receivable tracking and client payment monitoring

Occasional payment processing

Contract and registration tracking for programs/events Event Support (Occasional)

Assist with event coordination (monthly or quarterly events if applicable)

Event registration management and logistics support

Potential in-person support for LA-based events (preferred but not required)

Speaker, sponsor and Partner Coaches/Vendors/Professionals liaising

Requirements
This is a long-term role (1-3 years preferred) for someone who thrives in a warm, fast-moving, purpose-driven environment and enjoys building structure behind the scenes., * Highly organized, reliable, and detail-oriented

- Strong written and verbal communication skills

- Experience in admin, VA work, customer service, or operations (preferred but not required)
- Interested in a long-term role (1-3 year commitment preferred)
