Job description

This position manages and coordinates operational, administrative, and legal support functions for the Section. It independently develops, reviews, and implements operations procedures and workflows, and serves as a key resource for staff regarding Section administrative processes. The role utilizes ProLaw, SharePoint, and Microsoft Office applications to organize and track administrative information, including budget and billing, and supports planning of Section-wide meetings and events. The position prepares time-sensitive documents and works with Administration, Accounting, OAG, and IT to address administrative needs.

The position oversees office administrative functions, applying state procurement rules and administrative guidance to legal support activities, mail distribution, travel coordination, records management, and technology deployment. It manages onboarding documentation, file access, space planning, and distribution of OAG policies. It partners with HR and Section leadership on recruitment, policy matters, and sensitive HR processes, and manages internal and external communications. The position leads special projects, oversees budget tracking, contract and payment processing, and may support SMART Act reporting and key performance metrics.

The role also processes writs of garnishment and provides support to litigation units, including opening ProLaw matters, assisting with court admissions, and reconciling PACER billing.

This position provides executive support to the Deputy and Assistant Deputy by reviewing and analyzing correspondence, managing complex scheduling and operational logistics, and serving as a liaison and initial point of contact for Section inquiries. It exercises independent judgment in responding to inquiries, managing confidential issues, and ensuring consistent communication and follow-through.

The position oversees case and file management by evaluating and implementing Section data policies, managing electronic and hard-copy retention, and coordinating the transition to new data systems. It ensures database organization and works with Section leadership to use reports to enhance staff performance.

This position directly supervises administrative and legal support staff, including drafting position descriptions, conducting performance reviews, coaching and mentoring staff, balancing workloads, directing training and process improvements, and addressing performance concerns in collaboration with Section leadership and HR. It also ensures scheduling, coverage, and development opportunities for administrative staff, and provides backup administrative support as needed.

The position coordinates legislative review for the Section by tracking bills, assigning reviews to appropriate attorneys, establishing deadlines, and ensuring legislative responses are timely and accurate.
