Job description
The Administrative Assistant provides essential operational, administrative, and procurement support to BAE Systems programs and personnel. This position is responsible for coordinating purchase requisitions, managing supplier data, supporting employee onboarding and debrief processes, and handling visit requests and badging requirements for shipyards and U.S. Navy installations. The role ensures efficient workflow, compliance with security requirements, and timely execution of daily business operations
Procurement & Supply Chain Support

Create and process purchase requisitions to generate purchase orders in accordance with BAE Systems procurement procedures.

Obtain and evaluate quotes for parts, materials, and services from approved suppliers.

Maintain accurate and current supplier records, including contact information, compliance documentation, and performance history.

Track requisition and purchase order status to ensure timely delivery and resolve order discrepancies as needed.
Security & Access Coordination

Prepare, submit, and track visit requests (VRs) for government shipyards, naval bases, and other controlled facilities in compliance with DoD and NAVSEA requirements.

Coordinate badging, base access, and clearance verification for employees, subcontractors, and visitors.
Personnel Support

Coordinate employee onboarding, including access requests, mandatory training, workspace preparation, and introduction to team procedures.

Conduct or support employee debriefs upon offboarding, ensuring return of badges, equipment, and completion of required exit documentation.
Administrative Support

Provide general administrative support, including scheduling, document preparation, data entry, filing, correspondence, and report generation.

Assist leadership and engineering teams by preparing documents, tracking action items, and maintaining organized program files.
Requirements

Experience in administrative, supply chain, procurement, or logistics roles.

Ability to work with procurement systems (e.g., Oracle, SAP, or other ERP).

Strong organizational skills with attention to detail and accuracy.

Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).

Familiarity with DoD, shipyard, or Navy base access procedures preferred.

Preferred Qualifications

Prior experience in defense, ship repair, government contracting, or related industry.

Experience coordinating base access, visit requests, or security documentation.

Full-Time Salary Range: $41844 - $66952

However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
