Job description

The Prospect and Data Manager plays a critical role in advancing the organization's fundraising strategy by overseeing both prospect development and data management. This position is responsible for building and managing a strong donor pipeline while ensuring the integrity, accuracy, and strategic use of data across the Advancement function. By translating data into actionable insight, the Prospect and Data Manager equips leadership with the tools needed to drive revenue, strengthen donor engagement, and support informed decision-making., * Identify, research, and qualify prospective donors using internal data, external research tools, and philanthropic intelligence to build a robust and strategic pipeline.

  • Analyze wealth indicators, giving history, and engagement data to assess capacity, inclination, and readiness, informing portfolio strategy and solicitation planning.
  • Develop, assign and manage prospect portfolios in partnership with frontline fundraisers, ensuring clear moves management and alignment with organizational priorities.
  • Prepare high-quality prospect profiles, briefings, and research summaries to support donor meetings, events, and leadership engagement.
  • Provide strategic recommendations to Advancement leadership on prospect strategy, portfolio movement, and pipeline development.
  • Oversee CRM data integrity, ensuring accurate, consistent, and actionable data across all Advancement activities. Safeguards the confidentiality of donor information and upholds IMS policies regarding confidential information, evaluating and offering recommendations when necessary.
  • Establish and maintain data governance practices, including regular audits and monthly reconciliations between Development and Finance, in partnership with the Development Operations Manager.
  • Develop and produce standard, custom, and ad hoc reports to support revenue projections, goal setting ,and performance tracking.
  • Translate data into actionable insights, identifying trends and opportunities to strengthen fundraising outcomes.
  • Execute targeted list generation for appeals, events, and communications with a focus on precision, segmentation, and donor stewardship.
  • Collaborate across Advancement, Marketing, and Leadership teams to support campaigns, initiatives, and organizational priorities.
  • Serves as the primary point of contact for database vendor and manage service contracts and troubleshooting, ensuring effectiveness and coordination of data management systems.
  • Assists with gift entry, bank deposits, biographical data updates and other clerical functions as needed and/or in the absence of the Development Operations Manager.

Requirements

  • Bachelor's degree in Business, Nonprofit Management, Data Analytics, or a related field.
  • 7-10 years of experience in prospect development, fundraising operations, data analysis, or a related function.
  • Demonstrated experience working with CRM systems (e.g., DonorPerfect, Raiser's Edge) and managing large datasets.
  • Proven ability to analyze data and translate findings into actionable insights that support fundraising strategy.
  • Strong research skills, including experience with wealth screening tools and philanthropic databases.
  • Excellent written and verbal communication skills, with the ability to prepare clear, concise briefings and reports.
  • High level of attention to detail, organization, and ability to manage multiple priorities in a fast-paced environment.
  • Commitment to discretion and confidentiality in handling sensitive donor information.
