Job description
Reception & Visitor Management
- Responsible for the professional reception, registration, and direction of visitors, customers, and suppliers
- Conducting safety briefings for guests and external service providers, including the verification of information disclosure
- Managing access controls, including programming, issuance, and return of badges and employee ID cards
- Serving as the primary contact for the telephone switchboard, general inquiries, and the coordination of express and courier services
IT Asset & Leasing Management
- Controlling IT leasing terms and proactively coordinating the timely return of devices to avoid additional costs
- Executing hardware leasing processes: Operational handling of the issuance, return, and logistics for notebooks and smartphones
- Quality Assurance: Verifying factory resets on returned devices (deletion of Apple ID/BIOS protection) and ensuring the completeness of documentation
- SAP Administration: Performing invoice verification, cost control, and procurement processes within SAP
Office Administration & Infrastructure
- Managing pool vehicles (including key management and driving license checks) as well as the inventory management of office supplies
- Processing incoming and outgoing mail (excluding parcel shipping) and creating internal news contributions
- Preparing for audits through the seamless digital archiving of training records and the management of lost and found items
- Handling infrastructure incident reports and forwarding them via the CAFM system
Requirements
- Successfully completed commercial apprenticeship (EFZ), a degree from a hotel management school or or equivalent qualification
- Initial experience in a modern reception environment, hospitality, or a comparable administrative hub function is required
- Proficiency in German (stylistically confident) and good English skills (written and spoken) are mandatory for international visitor contact and system documentation
- Strong command of MS Office (especially Excel) and foundational experience in using SAP (ideally modules MM/FI) for procurement and invoice verification
- Basic understanding of mobile hardware (iOS/Android) and interest in working with specialized software (CAFM and badge management systems)
- High degree of customer orientation and professional appearance, as the reception is a key representative of the company's public image
- A structured and independent work style with the ability to maintain an overview of leasing deadlines and administrative tasks during peak visitor times
- Assertiveness in following up on device returns combined with a high sense of responsibility regarding safety and process compliance
