Job description

As an initial point of contact for Michigan PIP No-Fault and legal notice filings, the New File Specialist at Mike Morse Law Firm plays a critical role in launching each client's journey with clarity, accuracy, and efficiency. This position sets the foundation for successful case handling by gathering essential information, completing quality control steps, identifying applicable insurance coverage, and preparing files for attorney and Case Specialist review.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced legal environment while maintaining compassionate and professional communication with clients.

What You'll Do

  • Document all relevant case details accurately within the practice management system
  • Set initial case management ticklers and workflows when automation is not already in place
  • Identify all applicable insurance coverage and update the Insurance tab within the case management platform
  • Add applicable case sizes for PIP and third-party claims in the case management system
  • Identify and flag potential coverage issues and follow appropriate escalation procedures
  • Ensure completion and timely submission of MACP applications and/or appropriate Assigned Claims Facility documentation when applicable
  • Prepare legal notice documentation for submission to and approval by the NOI auditor and ensure timely filing and documentation within case notes
  • Maintain detailed and timely records of all communications, documents, and actions taken on the file
  • Collaborate closely with attorneys, Case Specialists, and other team members to ensure smooth file progression and accurate case setup
  • Assist with quality control review of newly opened files to ensure completeness and compliance with firm procedures

Requirements

  • Excellent verbal and written communication skills
  • Strong attention to detail with a high level of accuracy
  • Exceptional organizational and time management abilities
  • Ability to handle sensitive client interactions with professionalism and empathy
  • Ability to prioritize tasks and manage a high-volume workload efficiently
  • Familiarity with legal terminology and personal injury case handling preferred
  • Knowledge of Michigan No-Fault insurance concepts, PIP claims, insurance coverage investigation, and legal notice requirements and filings (bus and construction) is a plus
  • Comfortable working independently while collaborating closely with a legal team
  • Tech-savvy and proficient with legal practice management software and Microsoft Office applications, * High School Diploma or GED required; Associate's degree, paralegal certificate, or legal coursework preferred
  • Prior experience in a legal, insurance, medical, or customer service environment preferred
  • Experience with personal injury or Michigan No-Fault matters strongly preferred
  • Familiarity with MACP applications and insurance claim processes is a plus
