Job description
Provide leadership and ownership of Marketing Communications operations, channels, and delivery systems. This role is responsible for ensuring communications are clear, consistent, and delivered effectively at scale by designing and implementing the processes, tools, and workflows that support how the organization communicates.
The role operates with high independence and partners closely with Communications leads to translate strategy and messaging into repeatable, high-quality execution across channels.
Scope of Services:
- Communications systems and channel ownership
Own end-to-end operations of internal communications channels and platforms, including:

SharePoint / intranet as the primary communications destination and source of truth

Email and newsletter distribution

Viva Engage as the amplification and engagement layer for communications
-
Survey and measurement tools
Ensure clear connection across channels (for example, email to SharePoint to Viva Engage) so communications land as a cohesive experience for employees
Define and maintain standards for how content is published, structured, and consumed
Ensure channel experience is consistent, usable, and aligned to business needs
- Scaled content operations and publishing

Own the publishing pipeline across all communications channels

Establish and enforce standards for formatting, QA, and channel usage

Design repeatable workflows for content intake, production, approval, and publishing

Ensure "last mile excellence" across all published materials (accuracy, consistency, usability)

Partner with Communications leads to ensure content is tailored by audience and channel
-
Ensure content is appropriately distributed and connected across channels, including how announcements surface on SharePoint and are amplified through Viva Engage
- Automation and workflow architecture (Power Automate + systems)
-
Design and implement scalable workflows across communications processes using Power Automate and related Microsoft 365 capabilities

Identify manual or high-friction processes and redesign them into automated or system-driven workflows
-
Build and maintain automation solutions across areas such as:
o Content intake, approval, and publishing across communications channels
o Distribution and targeting
o Communications performance tracking and reporting
- Document and standardize workflows to ensure reusability across the team
- AI enablement across communications operations

Define and implement practical applications of AI (for example, Copilot) across communications workflows

Partner with Communications leads to integrate AI into:
o Recurring content production (drafting, formatting, summarization)
o Reporting and insights generation
o Knowledge capture and reuse (for example, AMA outputs and recurring artifacts)

Test, validate, and scale AI-assisted workflows that improve quality, speed, and consistency

Drive adoption of AI-enabled practices across the team
- Measurement, reporting, and insight systems

Own measurement strategy for communications channels and programs

Define and standardize reporting frameworks across email, intranet, events, and surveys
-
Deliver recurring reporting with clear, actionable insights
-
Identify trends and opportunities to improve engagement and effectiveness
- Communications rhythm of business and coordination
-
Own communications calendar and publishing cadence across the organization
-
Track dependencies, timelines, approvals, and delivery across communications workstreams
-
Provide visibility into status, risks, and blockers
-
Ensure alignment between stakeholders, timelines, and outputs
- Process design and continuous improvement
-
Evaluate current communications workflows and identify opportunities for simplification and scale
-
Redesign processes to reduce manual effort, duplication, and inefficiency
-
Establish clear operating models for how communications work is delivered
-
Continuously refine systems based on usage, feedback, and performance data
- Communications translation and consistency

Translate communications strategies and priorities into structured execution plans (channels, timing, formats)
-
Ensure consistency in how messages are delivered across channels and audiences

Identify overlaps, gaps, or inefficiencies in communications delivery and recommend improvements
- Budget tracking systems and process design

Define and implement a centralized approach for tracking communications and event budgets
-
Design standard processes, tools, and templates for budget tracking
-
Ensure budget data is consistently captured and maintained across programs and events
-
Partner with Event Management to ensure adoption of standardized processes
-
Improve visibility, accuracy, and reporting of budget information

Requirements
Do you have experience in Systems architecture within technology?, 1. Communications platforms (strong familiarity with SharePoint, email communications, and content publishing processes.) - 5+ years

Workflow automation (Power Automate or similar tools// evidence of designing workflows or systems (content intake, approvals, publishing, distribution), not just executing against them.) - 3+ years
-
Operations / program management for content or communications systems (experience in communications or marketing communications operations, with hands-on ownership of platforms and publishing workflows.)- 7+ years

Disqualifiers: Candidates with no enterprise communications systems experience will not be eligible for the role., * 7+ years' experience in communications operations, marketing operations, or program management

Experience designing and implementing operational systems at scale

Hands-on experience with SharePoint, Amplify, Power Automate or similar tools

Experience applying AI tools to improve workflows

Strong systems thinking and process design capability

Experience working across complex stakeholder environments
