Job description

The IT Assistant supports the IT Director and broader IT functions by assisting with day-to-day operations, project coordination, procurement, asset management, and end-user support. This role is responsible for helping ensure the efficient delivery of IT services while maintaining accurate records and responding promptly to internal requests., 1. Administrative Support: Assist in managing day-to-day administrative tasks such as scheduling meetings, handling correspondence, and maintaining departmental records.

  1. IT Operations & Support: Respond to and resolve IT work orders and service requests in a timely and professional manner; Answer and route IT support phone calls, providing initial troubleshooting where appropriate; Provide basic technical support for PCs, printers, and other end-user devices.

  2. Procurement & Vendor Coordination: Assist with ordering IT equipment, including PCs, printers, servers, and accessories; Coordinate with vendors to track orders, deliveries, and discrepancies; Maintain records of purchases and warranties.

  3. Project Support: Assist the IT Director with planning and executing IT projects; Track tasks, timelines, and deliverables associated with IT initiatives; Provide administrative and logistical support for IT-related projects.

  4. Asset Management: Oversee and maintain accurate IT asset inventory records; Tag, track, and audit equipment to ensure accountability and compliance; Coordinate equipment deployment, relocation, and disposal

  5. Financial & Administrative Duties: Oversee Assist with processing IT invoices and ensuring proper documentation; Prepare and submit expense reports for the IT department; Maintain organized records of IT expenses, contracts, and documentation

  6. General Support: Provide administrative support to the IT Director as needed; Assist with documentation, reporting, and process improvements; Perform other duties as assigned to support IT operations

  7. Technical Assistance: Provide basic technical support to employees, including troubleshooting software and hardware issues, and escalating complex problems to the appropriate IT staff.

  8. Documentation: Create and update documentation for IT processes, procedures, and user guides to facilitate efficient operation and support.

  9. Coordination: Coordinate IT-related projects and audits, including software installations, system upgrades, and equipment procurement, by liaising with vendors and internal stakeholders.

  10. Training: Assist in organizing and delivering training sessions for employees on IT systems and tools to enhance their proficiency and productivity.

  11. Security Compliance: Assist in enforcing IT security policies and procedures, including user access controls, data backups, and antivirus measures, to safeguard sensitive information and systems.

  12. Reporting: Generate reports on IT metrics and performance indicators, such as help desk tickets, equipment utilization, and software licenses, to track departmental effectiveness and identify areas for improvement.

  13. Other duties as assigned.

Requirements

Do you have experience in Technical Proficiency?, Do you have a High school diploma or GED?, 1. High school diploma or equivalent; associate or bachelor's degree in information technology or related field preferred.

  1. Proven experience in administrative support roles, preferably in an IT environment.

  2. Strong organizational and time management skills, with the ability to prioritize tasks effectively.

  3. Excellent communication and interpersonal skills, with a customer service-oriented approach.

  4. Basic understanding of computer hardware, software, and networking concepts.

  5. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other common business applications.

  6. Familiarity with IT service management tools (e.g., help desk software) is a plus.

  7. Ability to adapt to changing priorities and work effectively in a fast-paced environment.

PHYSICAL REQUIREMENTS and WORKING CONDITIONS: While performing the essential functions of this job, the IT Assistant is continuously required to sit or stand, talk or hear: they may occasionally lift, move, push or pull up to 100 pounds and frequently lift/move up to 25 pounds. Specific vision abilities required by this job include close vision. This is an indoor position and the noise level in the work area is usually moderate. There are no harmful environmental conditions present for this position. The employee may occasionally be exposed to the risk of electrical shock.

REPORTING RELATIONSHIP: This position reports directly to the IT Office Manager who reports directly to the IT Director. The IT Director reports directly to the EVP, Operations / Cashier. The EVP, Operations / Cashier reports directly to the President of American National Bank & Trust who reports directly to the CEO of American National Bank & Trust.
