Job description

Team summary: The IT & Systems Coordinator sits within the Central Services Team and aims to support Cwmpas to deliver its strategy through support of the business and its people via the IT infrastructure, People and Culture and Finance functions., Job summary: To assist management to ensure the smooth and effective day-to-day running of the organisation's IT systems and infrastructure, supporting colleagues across the organisation and liaising with external providers to maintain high standards of service and operational continuity., IT Systems Administration

  • Support the ongoing administration and operational running of core IT systems including SharePoint, Microsoft 365 (Teams), and the CRM.
  • Maintain documentation and registers for IT systems, equipment, and project plans.

Service Coordination

  • ·Act as the first point of contact for IT-related queries and liaise with external support providers to ensure hardware, software, internet, and ICT services run smoothly.
  • Direct staff to the IT support service for first-line technical assistance and manage escalations as needed.
  • Co-ordinating IT Kit.

Monitoring & Reporting

  • Regularly review IT support data to identify trends and recurring issues.
  • Prepare summary reports for management to support proactive decision-making. (This function may be outsourced.)

Supplier Liaison & Emergency Response

  • Liaise with third-party suppliers to support IT infrastructure and respond to emergency issues, including those occurring out of hours.

Training & Knowledge Sharing

  • Develop and maintain IT training materials (e.g., SharePoint, Microsoft Teams), working with management to ensure relevance and clarity.

Technology Planning & Innovation

  • Stay informed about developments in hardware and software to support strategic planning and future-proofing of IT and security infrastructure.
  • Assist in identifying new technologies that could improve efficiency for end users. (These functions may be outsourced.)

Health & Safety

  • Ensure IT equipment across Centre premises complies with health and safety standards.

Continuity & Delegation

  • Respond to IT queries during absences to maintain continuity of service.

Team Support & Project Coordination

  • Provide general first-line IT advice to colleagues.
  • Support the coordination of ad hoc IT projects.

Facilities & Asset Management

  • Manage office and storage lease arrangements where necessary, ensuring they meet business needs.
  • Maintain a register of IT and office furniture assets, tracking their location and usage.

Other Duties

  • Undertake any additional responsibilities reasonably aligned with the role or necessary for the smooth operation of the organisation.

Requirements

Do you have experience in SharePoint?, * You will have demonstrable experience of providing administrative support within an ICT function.

  • You will have demonstrable experience of assisting with ICT related project.
  • Knowledge and experience of working within a facilities role is desirable for this role., * You will have developed organisational skills in order to assist with supporting multiple departments.
  • You will demonstrate meticulous attention to detail in your work.
  • You will have developed written and verbal communication skills, along with interpersonal and customer care skills.

All staff are expected to be able to work independently and as part of a team and organise work in order to meet multiple deadlines, build effective relationships and use MS Office and online meeting tools.

The ability to communicate fluently in Welsh is desirable but not essential for this role.
