Job description
The Data/Transportation Support will assist by providing clerical, computer, and technical support.
The Data/Transportation Support will assist by providing clerical, computer, and technical support. Along with assisting the centers and Family Services Department with clerical assistance and coordination and implementation of transportation services for children.
Responsibilities
Clerical Support Responsibilities:
- Acts as first responder to incoming Agency calls, for the forwarding of calls, and for the logging and disbursement of messages to message center.
- Checks, handles, and logs messages upon arrival.
- Assists with preparing and translating of on-going reports, documentation, correspondence, forms, and letters, including notices to parents and staff.
- Helps preparing monthly newsletters, including typing, copying, disbursement, and filing of the newsletter.
Data Specialists Responsibilities:
- Assists in the record keeping and organization of data, including computer input utilizing Child Plus for family and Children's files.
- Assists with preparing on-going reports, documentation and correspondence, parental/staff handbooks, forms and letters.
- Performs other duties as directed by the Family Services Manager/CEO-Executive Director.
Transportation Support Responsibilities:
- Subbing as a Bus Assistant when needed.
- Assists drivers in scheduling routine maintenance and emergency repairs.
- Maintains bus files with updated service records, driver, and license information.
- Maintains updated bus routes.
- Collects, monitors, and files of all weekly bus forms and reports, reporting discrepancies to the Family Services Manager.
- Provides needed forms and inspection books for transportation staff.
- Assists drivers in scheduling current continuing education certification/refresher classes/CPR-First Aid.
- Communicates with parents regarding bus rules and regulations.
- Assists drivers during daily routes with emergency call to parents and/or emergency contacts.
- Assists drivers in issuing warning letters and suspensions.
- Assists drivers in notifying parents of schedule changes and the addition of new children.
- Assists family services manager and human services in the collection of transportation personnel data.
- Prepares and post information daily regarding bus service, bus repair, field trips and any other pertinent information that will aid staff assisting when support specialist is not present.
- Complies with mandated child abuse and neglect reporting requirements.
- Shares and communicates all pertinent information with site director, and family services manager.
- Assists family services manager with bus driver's evaluations.
- Gives to the bookkeeper monthly all bus receipts sorted by vendor.
- Performs other duties as directed by family services manager/executive director.
Requirements
Do you have experience in Working with children?, Do you have a High school diploma or GED?, * Must have high school diploma or GED.
- Bilingual skills are needed both written and oral in Spanish.
- Must have training and at least one-year clerical/computer experience.
- Ability to relate well with children, parents, and staff.
- Ability to keep accurate and complete records.
- Excellent communication skills and ability to provide and obtain information between departments.
- Reliable transportation for use in program activities.
- Must be willing and have ability to learn new skills.
- Able to implement and monitor change.
- Experience in data entry and with software systems.
- Strong communication, interpersonal, and organizational skills are important, as is the ability to operate a computer and relevant software.
- Ability to lift and carry a certain amount of weight or a child to safety.
- Pass background and health screenings, and maintain confidentiality.
