Job description

Dermatology & Skin Health is seeking an organized, reliable, and proactive Operations Support Manager to assist with day-to-day operational support across our growing multi-site dermatology practice. This is a hands-on, field-based support role for someone who enjoys solving problems, following up on details, checking in with teams, and making sure small operational issues do not become larger disruptions.

The Operations Support Manager will work closely with the Chief Operating Officer and department leaders to support office readiness, facilities follow-up, staff communication, task tracking, and consistent execution across locations. This role is ideal for an early-career professional with strong judgment, excellent follow-through, and an interest in healthcare operations. Prior healthcare experience is helpful but not required.

Essential Responsibilities

· Conduct regular check-ins with all 8 office locations to identify operational needs, maintenance issues, supply concerns, workflow barriers, and general office readiness

· Partner with clinical and administrative leadership to ensure consistent workflows and high-quality patient care.

· Provide secondary operational support to clinical, front team, remote operations, and marketing departments as assigned.

· Track operational issues from identification through completion, including maintenance requests, vendor follow-up, facility concerns, and office support needs.

· Assist with weather-related office readiness, including checking parking lots, sidewalks, entrances, and snow removal status during storms or snow days.

· Help department leaders follow up on assigned tasks and ensure action items are completed.

· Maintain a clear task tracker and provide regular updates on open items, completed items, blocked items, and issues requiring escalation.

· Perform other operational support duties as assigned by the Chief Operating Officer.

· Communicate professionally with staff, vendors, landlords, and internal leaders.

· Escalate concerns proactively before they affect patients, staff, or daily operations.

· Support new office setup, office moves, signage updates, supply coordination, and other operational projects.

· Support the monitoring of office performance and identify opportunities to improve efficiency and patient satisfaction.

· Foster a positive and collaborative work environment that aligns with the practice's core values.

  • Address operational challenges and work proactively to develop effective solutions.
  • Ensure compliance with company policies and applicable healthcare regulations across all locations.
  • Travel between office locations as needed to support operations and staff.

Requirements

Do you have experience in Time management?, Do you have a Bachelor's degree?, Preferred:

  • Previous experience in a medical office, healthcare setting, or medical practice.
  • Bachelor's degree or equivalent experience. Recent graduates are encouraged to apply.
  • One to three years of experience in healthcare, medical office operations, hospitality leadership, office administration, operations support, or a supervisory role.
  • Experience in operations management, office management,
  • Familiarity with electronic medical records (EMR) systems.
  • Experience managing multiple priorities and teams.
