Job description
We are seeking a detail-oriented and proactive Purchasing Agent to support purchasing, warehouse, inventory, and tool management operations. This role is responsible for coordinating material orders, tracking deliveries, maintaining accurate records, supporting project and field teams, and ensuring materials, tools, and equipment are received, organized, and available when needed. The ideal candidate is highly organized, adaptable, and comfortable working in both an office and warehouse environment., Purchasing and Order Management
- Place orders with vendors as directed by project or field services leadership.
- Prepare purchase orders for field purchases and track receipt submissions.
- Monitor delivery status and provide regular updates to project and field services teams.
- Match purchase orders with delivery tickets and submit documentation to accounting for processing.
- Review and verify material costing entered into internal systems on a job-by-job basis.
- Research vendors and compare pricing to help secure the best value on materials and services.
- Assist project managers in identifying vendors and subcontractors for out-of-town projects.
- Review purchase orders for subcontracted services, confirm vendor insurance compliance, and provide approval as needed.
Receiving, Inventory, and Warehouse Support
- Receive incoming trucks and assist with unloading parts and materials.
- Inspect incoming shipments for damage, shortages, or discrepancies and document issues with reports and photographs.
- Work with delivery personnel to unload, inspect, count, accept, or reject materials.
- Sign and file delivery tickets to document material receipt.
- Maintain warehouse stock levels and store parts and materials in designated locations.
- Label incoming materials and parts with stock identification tags.
- Move materials from storage and package items for shipment, delivery, or pickup.
- Fill requisitions, work orders, and material requests for service and construction teams.
- Stage materials, tools, and supplies for field personnel as needed.
- Pack and ship materials upon request.
- Process returns and complete all associated documentation.
- Record quantities of materials and items received.
- Identify damaged, lost, or excess inventory stored in the warehouse.
- Compile inventory balances and pricing lists.
- Maintain accurate warehouse activity records and update internal systems to track movement, receipt, and usage of materials.
Tools and Equipment Management
- Manage tool check-in and check-out processes through the company's tracking process.
- Maintain tool inventory records, including transfers and new tool setup.
- Tag and process new tools in the tracking system.
- Identify tools requiring repair and coordinate drop-off and pickup from repair vendors.
- Ensure all tools and equipment remain functional, serviced, and ready for use.
- Perform periodic inventories of company vehicles and reconcile tools, materials, and equipment records.
- Maintain truck inventory records in the system.
Requirements
- High school diploma required.
- Additional coursework in computer systems or construction methods preferred.
Experience
- Minimum of 4+ years of experience in a warehouse or similar materials/inventory role.
- Minimum of 5 years of clean driving record required.
Skills and Knowledge
- Proficiency with Microsoft Outlook, Word, and Excel.
- Experience using inventory, purchasing, and accounting platforms.
- Familiarity with basic accounting principles.
- Strong documentation and recordkeeping skills.
- Excellent attention to detail and accuracy.
- Strong verbal and written communication skills in English.
- Strong organizational and time management skills.
- Ability to follow filing procedures and maintain auditable records.
- Flexibility and willingness to learn new systems and processes.
