Job description

HTC Global Services is seeking a Vendor Program Specialist to support the day-to-day coordination of our IT staffing vendor and subvendor partner program.

This role is a good fit for someone with experience in IT staffing operations, vendor coordination, recruiting support, subvendor communication, documentation, reporting, and follow-up. The position will help ensure vendor partners understand role requirements, submission expectations, compliance needs, and process timelines.

This is not a procurement leadership role. It is a hands-on operations and coordination role supporting Recruiting, Delivery, Sales, Legal, Finance, Compliance, and vendor partners.

What You'll Do

  • Support daily operations for IT staffing vendor and subvendor partners.
  • Coordinate communication with vendors regarding open roles, submission rules, turnaround times, and required documentation.
  • Track vendor submissions, candidate ownership, interview activity, hires, fallout, and vendor responsiveness.
  • Help maintain vendor records, contact lists, agreements, compliance documents, and process trackers.
  • Assist with vendor onboarding paperwork and follow-up on missing documents.
  • Help reduce duplicate submissions, ownership confusion, and process delays.
  • Prepare basic vendor performance reports, dashboards, and scorecards.
  • Escalate vendor performance, compliance, rate, contract, or payment issues to the appropriate internal owner.
  • Partner with Recruiting and Delivery teams to support urgent or hard-to-fill staffing needs.
  • Help ensure vendors follow HTC's submission process, client-specific rules, and compliance expectations.
  • Support invoice, payment, timesheet, and rate-related follow-up with Finance/AP as needed.
  • Maintain organized documentation and provide timely follow-up to internal and external stakeholders.

Requirements

  • 2+ years of experience in IT staffing, vendor coordination, recruiting operations, supplier support, HR operations, staffing administration, or related work.
  • Understanding of IT staffing, contract staffing, corp-to-corp subvendors, candidate submissions, and recruiting workflows.
  • Experience coordinating with vendors, recruiters, account managers, delivery teams, or hiring stakeholders.
  • Strong follow-up, organization, communication, and documentation skills.
  • Comfortable using spreadsheets, trackers, ATS/VMS tools, CRM systems, or reporting dashboards.
  • Ability to manage multiple requests, vendors, and priorities in a fast-paced environment.
  • Strong attention to detail and ability to escalate issues appropriately.
  • Professional communication style with internal teams and external vendor partners.

Preferred Qualifications

  • Experience in IT consulting, IT staffing, professional services, or managed services.
  • Experience supporting subvendor, supplier, agency referral, or staffing partner programs.
  • Familiarity with ATS, VMS, vendor databases, contract repositories, or SharePoint/Excel trackers.
  • Basic understanding of vendor agreements, candidate ownership, payment triggers, rate expectations, and compliance documentation.
  • Experience working with offshore teams or shared-service recruiting models., * Are you comfortable working primarily Eastern Time Zone hours with occasional schedule flexibility to support global teams, vendors, or business needs across different time zones?
