The role of Framework Coordinator is vital to ensuring that all project documentation within CK Rail’s frameworks and projects is managed efficiently, accurately, and in full compliance with regulatory, contractual, and company standards.

Role Overview

The Framework Coordinator will play a key role in managing and controlling the flow of information and documentation within the organisation and across rail infrastructure projects. This includes maintaining document accuracy, version control, and compliance in alignment with project and client requirements.

The role is framework-specific, meaning that certain responsibilities and tasks will vary depending on the framework or client contract under which the individual operates. The Document Controller will work closely with project teams, external partners, and framework managers to ensure document control processes align with both CK Rail and client-specific procedures and systems.

Key Responsibilities

Document Management

· Manage the organisation, classification, and archiving of project documentation, ensuring that all records are stored and retrieved in accordance with company and project requirements.

· Maintain accurate document metadata and ensure proper indexing, version control, and file naming conventions.

· Manage transmittals and ensure the timely distribution of documents to internal and external stakeholders.

Version Control

· Implement and maintain robust document version control systems to ensure all project participants are working to the latest revisions.

· Track and monitor changes to drawings, reports, and key project documents.

· Support configuration management and ensure document change requests follow approved workflows.

Compliance and Quality Assurance

· Ensure all documentation complies with relevant industry standards, client requirements, and company policies.

· Support audits and inspections by maintaining accurate and complete document records.

· Conduct regular quality checks to verify document accuracy, completeness, and consistency.

Framework-Specific Responsibilities

· Deliver document control processes and reporting tailored to the needs of specific framework agreements.

· Engage with framework management teams to ensure document workflows meet contract-specific requirements.

· Adapt document management systems and procedures to comply with client or framework platforms.

· Provide framework-specific support, which may include performance reporting, stakeholder liaison, and document coordination with multiple project partners.

· Participate in framework meetings, ensuring document control performance and KPIs are maintained.

Collaboration and Training

· Facilitate communication and collaboration among project teams, subcontractors, and external stakeholders regarding document workflows.

· Provide training and support to team members on document control procedures, software tools, and document management standards.

· Act as the point of contact for all document control queries within assigned projects or frameworks.

Risk and Reporting

· Identify and mitigate risks related to document management, such as delays, incorrect version use, or loss of data.

· Generate document control status reports, including metrics on compliance, progress, and outstanding reviews.

· Support project and framework teams with ad-hoc reporting requests.

Continuous Improvement

· Regularly review and improve document control systems, ensuring efficiency and effectiveness.

· Contribute to the development and improvement of CK Rail’s document management procedures within the Integrated Management System (IMS).

· Share lessons learned and best practices to enhance business-wide document control processes., CK Rail operates under an Integrated Management System (IMS) certified to ISO 9001 (Quality Management), ISO 14001 (Environmental Management), and ISO 45001 (Occupational Health and Safety Management). This framework supports all areas of our operations, ensuring that quality, safety, and environmental standards remain central to our success. Each team member, including the Framework Coordinator, is responsible for maintaining compliance, supporting continual improvement, and promoting operational excellence. This includes:

· Upholding document control procedures as defined in the IMS.

· Maintaining accurate and traceable records.

· Supporting audits and ensuring document-related compliance.

· Contributing to the continuous development and efficiency of the IMS.

Requirements

Do you have experience in Microsoft Word?, · Proven experience as a Framework Coordinator within the rail, construction, or infrastructure industry.

· Strong understanding of document control processes, version control, and data integrity.

· Familiarity with industry standards and compliance frameworks (e.g., ISO 9001, ISO 14001, ISO 45001).

· Proficiency in document management systems

· Excellent attention to detail, organisation, and accuracy in data handling.

· Strong communication and interpersonal skills, with the ability to liaise effectively across teams.

· Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Desirable Skills and Attributes

· Experience working on framework or alliance contracts (e.g., Network Rail, Tier 1 contractors).

· Certification or training in Document Control or Information Management.

· Knowledge of CDEs (Common Data Environments) and collaborative platforms.

· Understanding of BIM documentation workflows or asset information standards (PAS 1192 / ISO 19650).

· Awareness of configuration management and digital assurance processes.

· Proactive and solutions-focused approach to managing complex document control challenges.

Compliance and IMS Responsibility, · Highly organised, meticulous, and detail-oriented.

· Effective communicator with strong interpersonal skills.

· Proactive and adaptable, able to work across multiple frameworks and priorities.

· Team-oriented with a collaborative and positive approach.
