Job description

Sterling Tax & Accounting is hiring an Operations & Technology Specialist to support firmwide process improvement, software implementation, automation, and AI-enabled efficiency initiatives.

This role reports directly to the CEO and works closely with team members across tax, accounting, administration, sales, and client service. This is not a traditional administrative role and it is not a Director of Operations position. We are looking for someone who can understand how work moves through a CPA firm, spot inefficiencies, research options, test solutions, document processes, train the team, and help drive assigned projects forward., The Operations & Technology Specialist will help improve how work gets done across the firm. This includes software evaluation, software implementation, workflow improvement, process documentation, team training, automation, and AI implementation.

AI is a major part of this role. We are actively building better ways to use tools like Claude, Claude CoWork, Claude Code, ChatGPT, Karbon AI, and related technology to improve efficiency across the firm. The right person should be genuinely comfortable with AI tools, willing to experiment, and able to build practical workflows that save time while maintaining quality, confidentiality, and professional standards.

This does not mean simply being “comfortable with software.” We are looking for someone who enjoys testing new tools, learning quickly, solving problems, and figuring out how technology can support real operational needs in a CPA firm environment., Responsibilities may include:

  • Support firmwide software evaluation, testing, implementation, and rollout.
  • Research software, AI tools, integrations, and automation opportunities, then prepare organized recommendations for leadership.
  • Build practical AI use cases for the firm using tools such as Claude, Claude CoWork, Claude Code, ChatGPT, Karbon AI, and related platforms.
  • Test AI-enabled workflows before rollout to confirm they are useful, accurate, secure, and appropriate for a CPA firm environment.
  • Create internal documentation, prompt libraries, workflow examples, SOPs, checklists, and training materials.
  • Help the team use technology and AI effectively through training, examples, documentation, and practical support.
  • Identify bottlenecks in tax, accounting, admin, sales, onboarding, client communication, and internal workflow processes.
  • Improve firm processes through better systems, cleaner documentation, automation, and team training.
  • Assist with change management when new systems, tools, workflows, or procedures are introduced.
  • Support the team with technology adoption, workflow questions, process troubleshooting, and practical problem-solving.
  • Work directly with the CEO to prioritize operational and technology projects and move assigned projects forward.
  • Help organize broad ideas into clear project plans, next steps, timelines, documentation, and implementation support.
  • Review existing workflows and recommend ways to reduce manual steps, improve consistency, and save time.
  • Maintain a practical focus on client experience, confidentiality, quality control, and professional standards.

Decision-Making and Reporting Structure

This role reports directly to the CEO. The Operations & Technology Specialist will work across the firm and may coordinate with team members in multiple departments, but final decisions regarding software, workflow changes, firm policy, and implementation priorities will remain with firm leadership.

The right person should be comfortable researching options, preparing recommendations, raising concerns, and helping execute approved projects. We are looking for someone who can take ownership of assigned projects without needing final decision-making authority.

Requirements

The right person will have experience in an accounting, tax, bookkeeping, or professional services environment and will be highly organized, tech-savvy, resourceful, and comfortable figuring things out. This role is ideal for someone who enjoys improving processes, learning new tools, experimenting with technology, and turning broad ideas into practical systems the team can actually use., You may be a strong fit for this role if you are the person others go to when a process is messy, a system is not working well, or a team needs help figuring out a better way to get something done.

You do not need to be a software developer or a tax expert, but you should be comfortable learning new tools, asking smart questions, testing workflows, documenting what you learn, and helping a team adopt better systems.

We are looking for someone who is curious, practical, detail-oriented, and resourceful. The right person will enjoy solving problems, improving processes, experimenting with technology, and bringing organized recommendations back to leadership., * Prior experience in a CPA firm, tax firm, bookkeeping firm, CAS practice, or accounting department.

  • Strong technology skills and the ability to learn new software quickly.
  • Genuine interest in AI, automation, and process improvement.
  • Strong organizational and project management skills.
  • Excellent written communication skills.
  • Ability to document processes clearly and create practical training materials.
  • Strong follow-through and the ability to move projects forward.
  • Ability to work independently while knowing when to ask questions or escalate decisions.
  • Good judgment around confidentiality, client information, and professional standards.
  • Comfort working directly with a tech-savvy CEO who will be actively involved in evaluating the quality and practicality of your work., * Experience with workflow management tools, CRM systems, project management platforms, or documentation platforms.
  • Experience with Karbon, Trainual, QuickBooks Online, Gusto, Google Workspace, Ignition, client portals, or similar systems.
  • Experience testing, implementing, or training others on new software.
  • Experience using AI tools such as Claude, ChatGPT, Microsoft Copilot, or similar platforms.
  • Experience creating SOPs, internal guides, checklists, templates, or training resources.
  • Experience supporting remote or hybrid teams., * Bachelor’s (Preferred)
