Job description

Position Overview: Reporting to the Director of Analytics and Data Administration in the office of Advancement Services, The College of New Jersey is seeking a CRM System Administrator. This role will primarily be responsible for the management of the constituent database, which includes alumni, students, and donors-The Raiser’s Edge/NXT. The incumbent will serve as the primary administrator for system updates and provide technical expertise for integrations with external platforms. The CRM Administrator will oversee and manage the entire database, establish business rules, and ensure data accuracy. Key responsibilities include: Responding to requests for reports and data needs (e.g., alumni, event, and TCNJ mailing lists, gift summaries, and financial reports); Performing data imports/exports and producing event, gift, and constituent lists for management and campus partners; Pulling, updating, and coding mailing lists for semi-annual magazine distribution, as well as direct mail and segmented departmental and group appeals; Requesting student, parent, and employee data and preparing it for import into The Raiser’s Edge/NXT; Training and supporting Raiser’s Edge/NXT users on new and updated software features; Collaborating closely with the Director of Analytics and Data Administration as well as all members of Advancement Services and Development teams., * Database Management and Data Integrity

  • Maintain, adjust, and create business rules
  • perform data cleanup and quality control
  • ensure the accuracy, consistency, and integrity of records across The Raiser’s Edge/NXT

  • Reporting and Data Delivery
  • Establish reporting needs with supervisors, Advancement staff, and internal clients, and independently produce deliverables, including alumni contact information, event mailing lists, gift summaries, queries, and export files
  • Respond to ad hoc reporting requests
  • Make recommendations for the enhancement of existing systems or the consideration of new systems to best meet the needs of the division.
  • Imports, Exports, and Integrations
  • Prepare and execute data imports and exports (including GradAdv, GiveSmart, IOM profiles, and student/parent/staff data)
  • Oversee and document system updates
  • Provide expertise in integrations with external platforms.
  • Appeals, Events, and Mailings
  • Manage appeal, event, and fund set-up
  • Pull, update, and code associated populations
  • Prepare lists for semi-annual magazine distribution, segmented appeals, and other mailings.
  • System Oversight and Security
  • Recommend and implement streamlined processes and improvements
  • Manage system security rights under the supervisor’s direction
  • Monitor and ensure the stability and effectiveness of the database.
  • Collaboration and Other Duties
  • Collaborate with the Director of Analytics and Data Administration to assess evolving data and reporting needs
  • Perform other duties as assigned, including ad hoc responsibilities outside of scheduled projects and reporting cycles.
  • Participate in campus and community activities, including volunteering at Advancement-sponsored events, such as Homecoming and Alumni Weekend.
  • Weekly review of gifts entered into RE to ensure accuracy prior to the weekly general ledger post. Requirements

  • Must have a Bachelor’s degree from an accredited college in a related field such as Business, Computer Science, etc.
  • A minimum of five years of experience in higher education or in a non-profit setting managing databases and developing financial reports is required.

  • Intermediate level of understanding of IT - software implementation and integration, troubleshooting issues for 30+ RE database users. High proficiency with the CRM databases (Raiser’s Edge NXT strongly preferred) with an emphasis on database management and ability to problem solve creatively, certifications preferred.
  • Strong analytical, organizational, and time management skills with an ability to maintain confidentiality and provide keen attention to detail.
  • Strong knowledge of Microsoft Excel and ability to develop or learn how to create macros, VLOOKUPs, pivot tables, formulas, etc.
  • Strong knowledge of FASB and CASE reporting standards; ability to create and format financial reports and interpret findings.
  • Must be able to read, write, and communicate fluently in English and exercise sound judgment in preparation of correspondence.

All of these activities largely position the external facing colleagues - fundraisers, college relations and alumni affairs staff - for success in developing relationships with donors, prospects, volunteers and other college supporters.
