Job description

The Senior Director of Scheduling and Systems is responsible for the strategic planning, administration, optimization, and execution of event management systems supporting tournaments, leagues, showcases, camps, and special events. This position serves as the primary administrator for scheduling software, registration platforms, and operational systems, ensuring the efficient execution of events from planning through post-event analysis.

Primary responsibilities include the creation and management of events within tournament management platforms such as GotSport, processing team registrations and payments, developing event and league flighting structures, producing schedules, and working directly with clients to maximize their experience at S3 events. Responsibilities extend through all phases of an event, including pre-event planning, on-site execution, and post-event reporting., * Report directly to the Senior Vice President of S3.

  • Serve as the lead administrator for tournament and event management systems, including GotSport and related platforms.
  • Be on call during S3 events to assist with all aspects of event operations and execution.
  • Conduct tournament and league planning to meet current and future organizational needs.
  • Develop event flighting, bracketing, scheduling, and competition in accordance with developed timelines.
  • Create schedules that balance competitive integrity, facility utilization, and participant needs.
  • Process team registrations, payments, and event approvals.
  • Complete all pre- and post-event requirements, including Permission to Host applications, sanctioning requirements, and tournament reports.
  • Maintain accurate event, team, participant, and facility data across all systems.
  • Support customer service inquiries related to registration, scheduling, and event logistics.
  • Build and maintain strong client relationships through exceptional service and quality event programming.
  • Coordinate with officials, facility managers, vendors, and event partners to ensure operational readiness.
  • Assist in securing and managing facilities required for tournament and event operations.
  • Identify and implement process improvements, automation opportunities, and technology enhancements to improve operational efficiency.
  • Prepare and submit weekly event progress reports to senior management.
  • Assist with event preparation, on-site execution, and post-event evaluations.
  • Reasonable agreed upon office hours during peak tournament dates.
  • Support organizational growth through the development of scalable systems and best practices.
  • Perform other duties as assigned to support S3 operations.

Requirements

The ideal candidate is highly organized, detail-oriented, technologically proficient, customer-focused, and capable of managing multiple projects in a fast-paced environment., * Bachelor’s degree in Sports Management, Business Administration, Event Management, or a related field preferred.

  • Minimum of 3 years of experience in event management, tournament operations, scheduling, systems administration, or related fields.
  • Advanced proficiency with GotSport and Microsoft Office Suite.
  • Strong organizational, analytical, and project management skills.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail and ability to manage multiple priorities simultaneously.
  • Professional appearance, demeanor, and communication skills.
  • Strong customer service and relationship management abilities.
  • Demonstrated leadership skills and ability to work effectively within a team environment.
  • Ability to establish and maintain approved work schedules and office hours.
  • Ability to work under pressure and meet critical deadlines.
  • Ability to work evenings, weekends, and holidays as required by event schedules.
  • Ability to travel periodically for events and organizational needs.

Preferred

  • Experience in youth sports administration, tournament operations, or large-scale sporting events.
  • Proficiency with event management platforms including GotSport, EventConnect, SportsEngine, LeagueApps, TeamSnap, Tourney Machine, or similar systems.
  • Experience with facility scheduling and field allocation processes.
  • Knowledge of tournament sanctioning, risk management, and event compliance requirements
  • Experience utilizing technology and automation tools to improve operational workflows.
