Job description
The Data Specialist is responsible for maintaining accurate program data, generating reports, ensuring data quality, and supporting staff in the effective use of data systems. This position works closely with program, fiscal, and leadership teams to monitor outcomes, meet funder reporting requirements, and support continuous quality improvement initiatives., Data Management
- Maintain and manage client databases and data management systems.
- Enter, verify, and update client and program information.
- Conduct regular data quality reviews to ensure accuracy, completeness, and consistency.
- Develop and maintain data tracking tools, spreadsheets, and dashboards.
Reporting and Compliance
- Prepare monthly, quarterly, and annual reports for funders, government agencies, and organizational leadership.
- Monitor data collection activities to ensure compliance with grant and contract requirements.
- Support audits, monitoring visits, and program evaluations by providing required documentation and reports.
- Assist with performance measurement and outcome tracking.
Data Analysis
- Analyze program performance indicators and client outcomes.
- Produce monthly statistical summaries, charts, and reports to support decision-making.
- Identify trends, gaps, and opportunities for program improvement.
- Present findings to management and program staff in a clear and understandable format.
Technical Support
- Develop written data management procedures and user guides.
- Troubleshoot database and reporting issues.
Confidentiality and Security
- Ensure compliance with HIPAA, confidentiality regulations, and agency policies.
- Maintain secure handling of sensitive client information, including HIV-related, gender identity, and other protected health information.
- Implement best practices for data security and privacy.
Requirements
- Bachelor’s degree in Public Health, Data Analytics, Information Systems, Social Sciences, Statistics, or a related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- Minimum of 2 years of experience in data management, reporting, or program evaluation.
- Experience with nonprofit, healthcare, public health, HIV/AIDS, LGBTQ+, or social service programs preferred.
- Experience working with government-funded programs and reporting requirements preferred.
Technical Skills
- Advanced proficiency in Microsoft Excel.
- Experience with databases such as eShare, Salesforce, AIRS, FamCare, Blackbaud or similar case management systems.
- Knowledge of data visualization tools such as Power BI or Tableau preferred.
- Strong analytical and problem-solving skills.
- Experience with SQL and data query tools is a plus.
