Job description

Job Summary: The Computerized Maintenance Management System (CMMS) Administrator is responsible for the ongoing administration, configuration, governance, and optimization of the CMMS/EAM system as the enterprise platform for asset and work management across Public Works. This role ensures reliable data capture, standardized workflows, user adoption, reporting capability, and system integration to support operational and asset management objectives. The CMMS Administrator leads system sustainment efforts and provides advanced training, technical support, and functional guidance to users., * Serves as the primary administrator for the CMMS/EAM system, managing user roles, permissions, workflows, templates, business rules, and system governance standards.

  • Configures and maintains asset hierarchies, work order processes, preventive maintenance schedules, system standards, and related master data structures.
  • Evaluates system functionality, recommends enhancements, and coordinates upgrades, testing, troubleshooting, and implementation activities with IT and vendors.
  • Establishes and enforces asset data standards, naming conventions, quality control processes, and required data governance practices across all divisions.
  • Performs data validation, cleanup, conversion, and migration activities to ensure data accuracy, completeness, and continuity of maintenance history.
  • Translates operational workflows into standardized CMMS processes and ensures consistent application across Public Works.
  • Develops and delivers comprehensive training programs, user guides, and standard operating procedures for CMMS users.
  • Provides ongoing technical support, troubleshooting, and best-practice guidance to end users and supervisors.
  • Develops and maintains operational reports, dashboards, performance metrics, and decision-support tools within the CMMS and related platforms.
  • Coordinates with Operations, Procurement, IT/GIS, and Finance to align system configuration, data requirements, and business needs.
  • Identifies inefficiencies and drives continuous improvement of CMMS-enabled workflows, reporting processes, and data practices.Supports the overall Asset Management program by participating in governance, standardization, continuous improvement, and future system expansion initiatives.

Requirements

  • Bachelor’s degree in Business, Information Systems, Engineering, Public Administration, or a closely related field plus three years of progressively responsible experience in CMMS/EAM system administration, asset management, enterprise systems support, or related operational environments; OR Associate’s degree in areas listed above plus five years of progressively responsible experience in CMMS/EAM system administration, asset management, enterprise systems support, or related operational environments;
  • Demonstrated experience configuring, supporting, or leading implementation of a CMMS/EAM system in a municipal, utility, fleet, facilities, or multi-division environment.
  • Strong knowledge of asset data structures, workflow design, system integration concepts, reporting tools, and process standardization.Excellent analytical, problem-solving, project coordination, communication, and customer service skills.

Working Conditions: Most work is performed indoors in an office where interruptions may occur. While performing the duties of this job, the employee is regularly required to sit; use hands; talk and hear. The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
