Job description

The Development Database Administrator is chiefly responsible for data entry and gift acknowledgement, donor

data management and overall database administration. This includes entering, cleaning, and reviewing data, as

well as managing data extraction, reporting, and reconciling across departments. This role also includes creating

and mailing both bulk and custom acknowledgment letters in physical and digital forms, and responding to

donor questions and requests related to gifts.

Responsibilities

Gift Entry, Acknowledgments & Reconciliation (50%):

  • Manages entry and acknowledgment of all gifts via mail, credit card, online, direct deposit, and stock

transfer.

  • Enters gift and donor data into fundraising database software with appropriate/accurate coding.

  • Produces acknowledgement letters/tax receipts with knowledge of practical tax receipting protocol.

  • Responds to donor inquiries via phone and email, including gift documentation/acknowledgement,

credit card updating, memorial gift notifications or tallies, or special gift follow-up.

  • Reconciles with Finance department at month-end; includes troubleshooting and auditing data.

Systems and Database Management (25%):

  • Manages all aspects of the Raiser’s Edge NXT database including data integrity, processing updates and

corrections in a timely manner.

  • This management includes troubleshooting gift batch errors, merging duplicate constituents, and

regularly updating donors’ contact information, mailing preferences, household relationships and

deceased statuses.

Reporting and Other Functions (25%):

  • Develops reports and manages the regular distribution of data, including monthly fundraising report

which summarizes department performance metrics and fundraising progress toward goals.

  • Produces queries, reports, and lists needed by development and communications staff for mailings,

email segmentation, portfolio management, and events management.

  • Supports development staff in creating reports/lists within Raiser’s Edge NXT, including revenue

progress in real-time, tasks and actions, and call lists.

  • Manages estate gift entry, paperwork, filing, and communications.

Requirements

  • Bachelor’s degree or equivalent experience

  • Advanced knowledge of Microsoft Office Suite, with specific emphasis on Excel (PivotTables, vlookups,

sums and counts, if statements) , Word (formatting, mail merges), and Outlook, respectively

  • At least 1-2 years’ experience working within donor databases, with a strong preference for experience

with Blackbaud/Raiser’s Edge NXT and the Raiser’s Edge database functions

o Other experience in CRM platforms such as Salesforce may be substituted

  • Customer service orientation with problem-solving and de-escalation skills

  • Ability to type quickly and accurately

  • Strong interpersonal oral and written communications skills - required for effective communication with

donors, teammates, and other departments

  • Excellent attention to detail and organizational skills, including physical and digital file management

Working Environment, Physical Activities and Equipment Used: Typical office environment. Regularly uses

computers for data input and other work. Take proper safety precautions while at work, reports unsafe

circumstances and takes action to prevent accidents.

Benefits & conditions

Compensation: This is a part-time temporary position. The pay range for this position is $24.00 - $28.00 per, hour. Competitive pay commensurate with education and experience. This is a temporary, part-time position
