Job description

We are seeking an organised and dependable Data Protection Administrator to provide administrative support for our data protection and information-governance service activities.

You will help maintain accurate compliance records, coordinate information-rights requests, monitor deadlines and support the management of data protection queries and incidents. You will work with colleagues across the organisation and handle confidential information, so organisation, careful record-keeping, discretion and excellent attention to detail are essential., * Monitor the data protection support desk inbox and ensure queries are logged, acknowledged and directed to the appropriate person.

  • Log and coordinate data subject rights requests, including subject access requests, and monitor statutory deadlines.
  • Gather information and records from relevant teams and maintain a clear audit trail.
  • Support the review and secure disclosure of information under appropriate supervision.
  • Maintain records of personal data breaches, queries, decisions and follow-up actions.
  • Help keep records of processing activities, data protection impact assessments, retention schedules and other compliance registers up to date.
  • Arrange meetings, prepare agendas and papers, take notes and track agreed actions.
  • Carry out routine checks to identify missing, incomplete or overdue compliance information.
  • Handle personal and confidential information securely and sensitively.
  • Provide general administrative support to Data Protection Advisors and the wider team.

Requirements

Previous experience in data protection is helpful, but we also welcome applicants with strong administrative or case-management experience and an interest in developing a career in this field., Essential

  • Experience in an administrative, case-management, records-management, customer-service or similar role.
  • Excellent organisational skills and close attention to detail.
  • The ability to maintain accurate records and monitor multiple deadlines.
  • Clear and professional written and verbal communication skills.
  • Confidence using standard office software, including email, documents and spreadsheets.
  • The ability to handle confidential and sensitive information with discretion.
  • A calm, helpful and professional approach when dealing with colleagues and members of the public.
  • The ability to follow established procedures while recognising when an issue should be escalated.
  • A willingness to learn about data protection legislation and good information-handling practices.

Desirable

  • Experience in data protection, information governance, legal administration or compliance.
  • Awareness of the UK GDPR, the Data Protection Act 2018 or data subject rights.
  • Experience coordinating requests or cases subject to formal deadlines.
  • Experience using case-management, document-management or compliance systems.
  • A relevant administrative, data protection or information-governance qualification.
