Job description

Our client, one of the largest municipal organizations in the Southwest, is seeking a Change Management Coordinator to support a high-profile Time & Labor modernization initiative. This role will play a critical part in helping employees, managers, payroll administrators, and department stakeholders successfully adopt new timekeeping processes and technology.

Supporting a workforce that spans 40+ departments, this position will focus on communications, training coordination, stakeholder engagement, user readiness, and change adoption activities that help ensure a smooth transition to enhanced time entry and labor tracking systems.

The Change Management Coordinator will work closely with the Project Manager and project leadership team to execute change management strategies that minimize disruption and maximize user adoption.

While primarily remote, candidates must reside in the Greater Phoenix area and be available for occasional onsite meetings, training events, workshops, and go-live support activities., The Change Management Coordinator is responsible for coordinating communication, training, stakeholder engagement, and readiness activities that support enterprise-wide organizational change. This role serves as a key liaison between project teams and business stakeholders, helping ensure employees understand upcoming changes, receive appropriate training, and are prepared for successful adoption., * Coordinate the development and execution of the project’s change management strategy and adoption plan.

  • Support change readiness activities for payroll administrators, managers, and end users.
  • Identify and track organizational impacts across multiple departments and stakeholder groups.
  • Monitor change adoption and recommend actions to improve user engagement and readiness.

Communications & Stakeholder Engagement

  • Develop and distribute project communications, announcements, timelines, and user guidance materials.
  • Maintain stakeholder inventories and communication plans.
  • Partner with leadership and department representatives to promote awareness and project engagement.
  • Facilitate stakeholder meetings, feedback sessions, and user outreach activities.
  • Ensure consistent, timely, and clear messaging throughout the project lifecycle.

Training & User Readiness

  • Coordinate training logistics, schedules, registration, and attendance tracking.
  • Assist in developing training materials, job aids, FAQs, quick-reference guides, and user documentation.
  • Support pilot programs and rollout activities to validate readiness and gather feedback.
  • Work with subject matter experts to ensure training content reflects business and operational needs.

Reporting & Project Support

  • Maintain readiness dashboards, communication calendars, adoption metrics, and status reports.
  • Gather, document, and escalate user feedback, concerns, and adoption risks.
  • Track project milestones related to change management activities.
  • Support project leadership with presentations, reports, and executive updates.

Go-Live & Transition Support

  • Assist with cutover planning and deployment communications.
  • Coordinate stakeholder support activities during implementation and rollout.
  • Monitor adoption challenges and help facilitate rapid issue resolution.
  • Support post-implementation stabilization and continuous improvement efforts., * Support technology and process improvements that impact employees across 40+ departments.
  • Partner closely with project leadership and executive stakeholders.
  • Gain exposure to enterprise-scale change management and organizational transformation efforts.
  • Primarily remote work environment with occasional local onsite engagement.

Requirements

The ideal candidate has experience supporting large-scale implementations involving HR, payroll, workforce management, timekeeping, or enterprise systems and possesses strong communication and stakeholder management skills., * Bachelor’’s degree in Business, Operations, Human Resources, Information Systems, Communications, Organizational Development, or a related field.

  • Experience supporting large-scale organizational change initiatives, system implementations, or transformation projects.
  • Background in change management, project coordination, HR operations, payroll processes, workforce management, or timekeeping environments.
  • Strong written and verbal communication skills with experience creating communications for diverse audiences.
  • Proven ability to coordinate multiple workstreams, priorities, and stakeholder groups simultaneously.
  • Experience using Microsoft Office Suite, Teams, SharePoint, and other collaboration tools.
  • Familiarity with change management frameworks and methodologies.
  • Professional certification such as:
  • Prosci/ADKAR
  • PMP (Project Management Professional)
  • Certified Change Management Professional (CCMP)
  • Similar project or change management certification, * Experience supporting Time & Labor, Workforce Management, Payroll, HRIS, or ERP system implementations.
  • Familiarity with platforms such as:

  • SAP SuccessFactors
  • Similar workforce management solutions
  • Experience coordinating change activities across large, complex organizations with multiple departments and stakeholder groups.
  • Prior experience within public sector, government, healthcare, higher education, utilities, or other highly matrixed environments., Ability to create and deliver effective communications across multiple channels, including email campaigns, presentations, training materials, stakeholder meetings, and executive briefings.

Strong ability to manage schedules, communications, training activities, documentation, and reporting with accuracy and consistency.

Works effectively with project managers, technology teams, HR, payroll, department leaders, and end users to achieve project objectives.

Benefits & conditions

Full-Time Contract Greater Phoenix Area (Primarily Remote) $50-$60/hr
