Job description

The Law Office of Avedis Nalbandian is seeking an experienced and highly organized Case Support Manager to lead the firm’s administrative case support operations. This fully remote leadership position is responsible for overseeing case coordination workflows, client support services, document management, scheduling, and administrative staff while ensuring efficient operations and an exceptional client experience., Case Support Leadership

  • Oversee daily administrative operations supporting case coordination and client service activities.
  • Supervise case support coordinators, administrative assistants, and client support staff.
  • Establish priorities, assign workloads, and monitor team productivity.
  • Develop and implement workflow improvements that increase operational efficiency.

Client Experience

  • Ensure clients receive timely, professional, and compassionate communication throughout their matter.
  • Serve as the primary escalation point for administrative client concerns.
  • Monitor client satisfaction and identify opportunities to improve service delivery.
  • Maintain consistent communication standards across the support team.

Case Administration

  • Oversee the organization and maintenance of electronic case files, correspondence, and documentation.
  • Monitor case activity to ensure administrative tasks, deadlines, appointments, and follow-ups are completed on time.
  • Coordinate scheduling for client consultations, virtual meetings, and internal case reviews.
  • Review administrative records for completeness and accuracy.

Operational Management

  • Track departmental performance metrics and prepare operational reports for leadership.
  • Assist with developing and maintaining administrative policies, procedures, and best practices.
  • Identify opportunities to streamline processes through automation and improved workflows.
  • Ensure administrative compliance with firm policies and document management standards.

Team Development

  • Recruit, onboard, train, and mentor administrative support staff.
  • Conduct regular coaching sessions and performance evaluations.
  • Foster collaboration, accountability, and continuous professional development.
  • Encourage a culture focused on client service, teamwork, and operational excellence.

Cross-Functional Collaboration

  • Work closely with attorneys, office administration, intake staff, billing, and leadership.
  • Coordinate administrative support for ongoing legal matters and firm initiatives.
  • Participate in strategic planning and operational improvement projects.
  • Support additional administrative responsibilities as assigned.

Requirements

The ideal candidate is a proactive leader with outstanding organizational and communication skills who enjoys improving processes, mentoring team members, and supporting a fast-paced legal environment without performing legal representation or providing legal advice., * Bachelor’s degree in Business Administration, Management, Communications, Public Administration, or a related field, or equivalent professional experience.

  • Minimum of 4 years of experience in office administration, legal administration, customer success, operations management, healthcare administration, insurance operations, banking, or administrative leadership.
  • Minimum of 2 years of supervisory or management experience.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational, leadership, and problem-solving abilities.
  • Ability to manage multiple priorities while maintaining accuracy and confidentiality.
  • Proficiency with Microsoft Office, Google Workspace, document management systems, CRM software, scheduling platforms, and virtual collaboration tools.
  • Ability to work independently in a fully remote environment.

Preferred

  • Experience working in a law firm, professional services organization, insurance office, or regulated business environment.
  • Familiarity with legal case management software, electronic document management systems, or workflow automation tools.
  • Experience leading remote administrative teams.
  • Knowledge of records management, operational reporting, and process improvement methodologies.
