Job description

UK Leading fencing contractor is looking to recruit a System and Portal Office Administrator to join a leading fencing and barriers contractor during an exciting time of growth and development. This is a multifunctional role suited to a well organised individual, with excellent internal and external communication skills and a proactive approach.

As a System & Portal Office Support Administrator, you will provide essential administrative and operational support across the Fencing Infrastructure Strategic Projects Department (FISP)., * Manage incoming enquiries, ensuring they are recorded and organised efficiently.

  • Download and categorise relevant project information for estimators.
  • Create and maintain structured folders for documentation.

Automation Department - Servicing Support

  • Assist with scheduling and coordinating servicing activities as required.

Document Management & Client Portals

  • Upload key documents (Drawings, RAMS, O&M Manuals) to client portals.
  • Adapt documents to ensure compatibility with portal requirements.
  • Maintain a job register to track project progress and status.
  • Maintain a manager register to record and monitor manager responsibilities and job allocations.

General Office Administration

  • Chase timesheets from employees and ensure timely submission.
  • Assist in collating and organising management accounts.
  • Provide general administrative support as needed to ensure smooth office operations.

Accounting

  • Manage managers’ accounts and ensure information is distributed in a timely manner.
  • Carry out amendments and updates to accounts and related records as required.
  • Chase applications for certification (App Certs) and outstanding debtors.
  • Maintain accurate records of applications, payments, outstanding balances, and debtor communications.
  • Provide administrative support to ensure financial information is kept organised and up to date.

Requirements

You will need to have good and accurate literacy, numeracy and administrative skills and the ability to analyse information to solve general queries. You’ll also need good keyboard skills. You’ll be managing a variety of relationships with different stakeholders, it’s important you have good communication skills and can work on your own initiative. Good planning and organising skills are key for this role and you should be used to working under pressure allowing flexibility and resilience., * Microsoft office proficient.

  • Excellent Communication skills
  • Minimum 1 year in similar role, * GCSE or equivalent (required), * Administrative: 1 year (preferred)
