Job description
Oversee the collection, validation, analysis, reporting, and security of district data, including PEIMS data and submissions. Ensure accurate and timely submission of PEIMS, TSDS, accountability, student, personnel, financial, and other state- and federally required data. Support district and campus personnel in using data systems and reports to promote operational efficiency, regulatory compliance, and informed decision-making. Supervise and train assigned staff. Ensure district compliance and accurate reporting of data to entities out of district., 1. Coordinate the collection, review, verification, and submission of district data required by TEA and other governmental agencies.
- Oversee PEIMS and TSDS submissions, including fall, midyear, summer, extended-year, and other required collections; supervision of PEIMS specialist.
- Maintain submission calendars and communicate deadlines to district and campus staff.
- Review data for accuracy, completeness, and compliance before final submission.
- Prepare certification documents and obtain required administrative approvals.
- Monitor TEA validation rules, fatal errors, warnings, and data-quality reports.
- Maintain documentation and audit trails supporting district data submissions.
- Oversee student registration, including ensuring the system is ready for student enrollment in the spring to ensure timely registration and processing of all students.
- Manage district rollover; ensure rollover does not impact student enrollment and registration.
- Support the Director of Advanced Academics & Counseling/Director of CTE & CCMR to ensure accurate PEIMS CCMR submissions are submitted to the state.
- District lead on the student information system (SIS); troubleshoot SIS systems issues through communication with outside entities; support all areas of the district with SIS needs., 1. Train district and campus staff on PEIMS, TSDS, student information systems, data standards, and reporting procedures.
- Develop manuals, calendars, reference guides, and other training materials.
- Provide technical assistance and respond to data-related questions from staff.
- Communicate changes in state reporting requirements and district procedures.
- Provide district-level support to campus registrars across all campuses; meet monthly with registrars to provide support and build capacity.
- Provide professional development to campus registrars on inservice training days.
Analysis and Compliance
- Prepare reports, dashboards, and data files for administrators, auditors, and program personnel.
- Support accountability, enrollment, staffing, attendance, funding, and program-compliance reporting.
- Assist with internal and external audits and respond to requests for supporting documentation.
- Ensure compliance with FERPA, records-retention requirements, district policies, and applicable state and federal laws.
- Protect confidential student and employee information.
- Perform other duties as assigned.
Requirements
Bachelor’s degree from an accredited university, Knowledge of PEIMS, TSDS, Texas Education Data Standards, and TEA reporting requirements
Knowledge of student, human resources, payroll, finance, and attendance data
Ability to manage databases, conduct data audits, and analyze complex information
Proficiency in student information systems, spreadsheets, reporting tools, and data dashboards
Strong organizational, problem-solving, training, and communication skills
Ability to maintain confidentiality and comply with FERPA and district cybersecurity requirements, Three years of experience working with school district data, PEIMS, student information systems, or related information systems
Experience with student information systems preferred
Experience in public schools (required), Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: May work prolonged or irregular hours (with importance of state submission periods); multiple deadlines
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
