Vendor Governance Lead

Charlie Gilmur with Robert half is searching for a proactive AP Specialist to join the accounting function in Vancouver, WA. This position combines ownership of vendor onboarding and compliance with hands-on support for accounts payable operations, making it an important role in maintaining accurate records and reliable payment processes. The ideal candidate will strengthen vendor controls, work closely with internal stakeholders, and help improve the efficiency and consistency of day-to-day financial activities., * Manage vendor onboarding and ongoing record maintenance, including collecting tax documentation and ensuring supplier information remains accurate and complete.

• Oversee incoming vendor-related requests by monitoring shared inboxes and workflow queues, responding promptly and routing issues when needed.
• Build and refine governance practices for vendor setup, with a focus on strong controls, data integrity, and a scalable onboarding experience.
• Partner with finance, procurement, accounts payable, and business teams to address vendor concerns, remove process gaps, and support continuous improvement efforts.
• Perform periodic reviews of supplier master data to identify discrepancies, maintain compliance standards, and reduce risk.
• Review invoices and expense submissions for accuracy, proper support, and policy alignment before processing for payment.
• Coordinate timely payment activities, including scheduled disbursement runs such as checks, ACH, and wire transfers, while resolving statement and payment inquiries.
• Contribute to month-end and year-end accounting activities, including audit support, reporting assistance, tax accruals where applicable, and preparation of required year-end vendor tax forms.
• Escalate compliance concerns, control weaknesses, or unusual vendor activity to management and help implement corrective actions.

Requirements - Experience supporting accounts payable operations, including invoice review, payment processing, and vendor account reconciliation.

• Knowledge of vendor governance practices, supplier onboarding controls, and compliance requirements related to vendor master data.
• Ability to work accurately with invoice coding, payment runs, expense documentation, and financial records in a deadline-driven environment.
• Familiarity with tax-related vendor documentation, such as W-9 collection and year-end 1099 preparation.
• Strong attention to detail with the ability to identify inconsistencies, investigate issues, and maintain reliable financial data.
• Effective communication skills and the ability to collaborate with procurement, finance leadership, and cross-functional business partners.
• Sound judgment in recognizing control risks, compliance concerns, and situations that require escalation.
