This role is central to the smooth operation of daily business activities, serving as a key point of contact for internal teams, vendors, and new hires. The ideal candidate brings deep experience in executive-level calendar management, event and logistics coordination, vendor management, and Microsoft 365 tools, and thrives in an environment that demands both precision and adaptability. This is a full-time onsite position based in Redmond, WA, Monday through Friday., * Provide in-person administrative support for day-to-day team operations and key business initiatives

  • Manage complex calendars for senior leadership, including scheduling, prioritization, and conflict resolution
  • Coordinate and execute team events, offsites, and large-scale supplier summits including logistics planning and on-site support
  • Support new hire onboarding by ordering and setting up equipment, supplies, and workspace needs
  • Manage vendor relationships and support open vendor roles, including procurement of goods and services
  • Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping
  • Review and process invoices, reports, memos, financial statements, and other corporate documents
  • Read and analyze incoming memos, submissions, and reports to determine significance and coordinate distribution
  • Prepare agendas and make arrangements for committee, board, and other meetings
  • Coordinate travel arrangements and process business expenses for management
  • Support department financial operations, personnel operations, and facility operations
  • Serve as the primary department or group contact and complete special projects as assigned, Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Requirements

Planning Invoicing Scheduling Operations Leadership Mentorship Procurement Coordinating Multitasking Adaptability Communication Microsoft 365 Prioritization Event Planning Microsoft Excel Customer Service Vendor Management Microsoft Outlook, * 5-7 years of administrative or executive assistant experience required; candidates with up to 9 years of experience will be considered

  • 5-7 years of calendar coordination experience, with VP-level support highly preferred
  • 5-7 years of experience with Microsoft 365 tools
  • 5-7 years of event and operations support experience
  • 3-5 years of prior experience in a large enterprise or technology environment highly preferred
  • Demonstrated experience supporting executives in a professional setting required
  • Additional education in business administration or a related field is a plus
  • Expert proficiency with Microsoft 365 tools including Word, Excel, PowerPoint, Outlook, and Teams
  • Strong calendar coordination and scheduling skills, with experience supporting VP-level or above highly preferred
  • Expert ability in event planning, logistics coordination, and budgeting
  • Excellent verbal and written communication skills with strong interpersonal and customer service abilities
  • Demonstrated ability to multi-task, prioritize effectively, and work independently in a fast-paced environment
  • Expert ability to handle sensitive and confidential information with discretion
  • Strong organizational skills with meticulous attention to detail
  • Experience with vendor management and procurement processes
  • Leadership and mentoring skills with the ability to provide constructive performance feedback
