Job description

  • Primary Point-of-Contact: Serve as the main point-of-contact for Managed Services during the Transition Phase, handling all planning and programmatic activities.
  • Scope Management: Manage the scope of entitlements throughout the service transition phase of engagements.
  • Stewardship: Oversee the Statement of Work, entitlement details, and onboarding service costs.
  • Documentation and Process Management: Responsible for creating, maintaining, and refining all Transition Planning templates, processes, and documentation.
  • Meeting Leadership: This resource must have the ability to lead internal and external customer-facing meetings, including project and service launch workshops, acting as the primary resource for the Transition team if the need arises.
  • Service Transition Completion: Ensure the successful completion of the Service Transition Phase (onboarding) for customers to the Managed Services platform and services.
  • Project Management Oversight: Assign and coordinate multiple project transitions, whether managed by the Transition Manager or other Transition Planning resources.
  • Senior Project Management Leadership: Lead a portfolio of concurrent transitions. Set delivery standards, review project plans and schedules produced by Project Managers, and coach the team on estimating, sequencing, and risk management.
  • Mentorship and Capability Building: Mentor and develop Project Managers and Transition Planning resources. Run peer reviews, share playbooks, and raise the delivery maturity of the team.
  • Resource and Capacity Planning: Forecast staffing demand across the transition portfolio, resolve resource conflicts in a matrix organization, and balance workload against committed onboarding dates.
  • Problem Solving: Create, execute, and troubleshoot all aspects of the Transition Phase for customers, ranging from simple to complex multi-team engagements.
  • Execution Discipline: Build and maintain integrated master schedules, work breakdown structures, critical path analysis, and RAID logs (risks, assumptions, issues, dependencies) across every active transition.
  • Governance and Reporting: Run the transition governance cadence - stage gates, steering committee reviews, executive dashboards, and weekly status reporting against baselined milestones, KPIs, and SLAs.
  • Third-Party and Partner Coordination: Manage OEM, carrier, and partner dependencies on the critical path, holding external parties to committed dates and deliverables.
  • Financial Management: Maintain financial awareness, including tracking, forecasting, and interfacing with accounting for all Onboarding/Transition projects.
  • Technical Knowledge Acquisition: Gain and maintain knowledge around OEM technologies supported by Managed Services, including SD-WAN, Route/Switch, Unified Communications, Data Center (compute & storage), and Cloud Platforms.
  • Adaptability and Growth: Embrace change, learning, and new opportunities in a fast-paced environment.
  • Team Collaboration: Assist with other Transition Team activities and planning to ensure a cohesive and team-oriented atmosphere.
  • Hands-On Support: Willingness to jump in and execute roles where help is required during busy times.
  • Matrix Organization Collaboration: Ability to work well with various teams in a matrix organization and provide insights into the onboarding process for the overall service. Personally manage and program internal processes.
  • Client Interaction: Work effectively with external clients at both the frontline and executive levels.
  • ITIL Service Management Leadership: Apply ITIL practices across service design, service transition, and continual improvement - change enablement, release and deployment management, service validation and testing, configuration management (CMDB), knowledge management, and service level management - so services are operationally ready at go-live.
  • Operational Readiness and Service Acceptance: Own readiness criteria and service acceptance gates. Chair go/no-go reviews and validate runbooks, monitoring, alerting, CMDB records, and the support model before handover to Operations.
  • Change Enablement and Release Governance: Plan and govern onboarding changes and releases. Lead CAB-style reviews, risk assessments, back-out plans, and maintenance window scheduling.
  • Incident, Problem, and Escalation Readiness: Establish escalation paths, severity definitions, and early-life support arrangements that carry the customer from go-live into steady-state operations.
  • Continual Service Improvement: Capture lessons learned, maintain a CSI register, and measure onboarding cycle time, defect and rework rates, and time-to-first-value to drive process improvement.

Requirements

  • Proven experience in transition management or a related field.
  • Strong leadership skills with the ability to own and refine processes.
  • Excellent project management and organizational skills.
  • Proven execution toolkit: integrated master schedule, work breakdown structure, critical path, RAID log, milestone or earned-value tracking, and executive-level status reporting.
  • Hands-on experience with ITSM platforms - ServiceNow or equivalent - including workflow, CMDB, and reporting.
  • Ability to mentor Project Managers, set delivery standards, and lead through influence in a matrix organization.
  • Experience leading concurrent, multi-team enterprise transitions with competing priorities and executive visibility.
  • Financial acumen related to tracking and forecasting project costs.
  • Technical knowledge of OEM technologies supported by Managed Services.
  • Exceptional communication and interpersonal skills.
  • Ability to manage multiple projects simultaneously.
  • Desire for continuous learning and adaptability in a dynamic environment.
  • Willingness to take on additional roles and responsibilities as needed.
  • Experience working in a matrix organization.
  • Eight or more years of project or program management experience, including at least three years leading Project Managers or a PMO/transition function.
  • ITIL 4 Foundation certification required; ITIL Managing Professional or a service transition specialty credential preferred.
  • PMP, PgMP, or PRINCE2 Practitioner certification preferred, with working knowledge of Agile, Scrum, and hybrid delivery models.
  • Demonstrated command of ITIL service transition practices: change enablement, release and deployment management, service validation and testing, configuration management (CMDB), knowledge management, and service level management.
