Job description

The Board of Regents Division of Strategic Planning and Student Success is responsible for advancing statewide initiatives that support higher education policy, student success, workforce development, and strategic planning. The division coordinates and updates the Board of Regents Master Plan, develops policies and resources to support statewide goals, fulfills state and federal reporting requirements, responds to legislative requests, and oversees the registration and licensure of non-academic proprietary schools. The division also supports statewide workforce and education planning through data analysis and strategic initiatives. Additionally, the Louisiana Office of Student Financial Assistance (LOSFA), a program within the Board of Regents, promotes college access by preparing, supporting, and providing financial aid resources to students throughout Louisiana., The Outreach and Data Coordinator is a Board of Regents position assigned to the Office of Student Financial Assistance (LOSFA). Reporting to the Program and Communications Administrator, this position is responsible for coordinating and scheduling agency outreach events and activities, supporting strategic outreach initiatives, and maintaining outreach-related records and data. The incumbent collaborates with outreach staff to expand engagement opportunities, provide logistical support for events, evaluate outreach effectiveness, and assist students, families, educators, and other stakeholders with questions related to LOSFA programs, college access, and financial aid., Outreach Coordination & Scheduling

  • Serves as the lead for scheduling outreach events and Virtual Office Hours (VOH).

  • Coordinates logistical needs for outreach events, Virtual Office Hours, and LOSFA-hosted events.

  • Coordinates all external outreach requests received through JotForm and the LOSFA Scheduling system.

  • Monitors staff availability and strategically schedules outreach personnel to maximize statewide engagement.

  • Serves as the primary liaison between event contacts and outreach staff by coordinating event logistics, communicating expectations, and conducting post-event follow-up.

  • Maintains the LOSFA Scheduling inbox and calendar.

  • Maintains the Virtual Office Hours schedule, staff assignments, meeting links, and session information to ensure adequate coverage.

Data Management & Strategic Planning

  • Maintains outreach event databases, Virtual Office Hours records, and related reporting information.

  • Prepares reports and provides outreach data upon request.

  • Collaborates with leadership to develop, implement, and evaluate outreach plans and strategic initiatives.

  • Identifies data collection methods and performance measures to evaluate the effectiveness of outreach activities.

  • Utilizes outreach data and reporting results to support continuous improvement of outreach strategies and services.

Outreach & College Access Services

  • Represents LOSFA through statewide outreach activities, including presentations, workshops, financial aid events, social media initiatives, television and radio appearances, written and electronic communications, and individualized assistance.

  • Travels as needed, including evenings, weekends, and overnight assignments, to support agency outreach efforts.

  • Serves as on-camera or voice-over talent for webinars, instructional videos, and other digital communications related to LOSFA programs and services.

  • Provides instruction and technical assistance regarding completion of the Free Application for Federal Student Aid (FAFSA®), interpretation of the FAFSA® Submission Summary, the TOPS Online Application, the College Match Portal, the LOSFA Student Hub, and the agency website.

  • Maintains current knowledge of legislative, procedural, and programmatic updates affecting LOSFA programs and partner initiatives.

  • Advises students using the LOSFA 5-Point Match Method and established advising guidelines.

  • Provides guidance regarding college access planning, financial aid opportunities, scholarship programs, and the postsecondary admissions process.

  • Serves as a resource for students, parents, school counselors, postsecondary institutions, school systems, legislators, and the general public regarding Louisiana student financial aid programs.

Customer Support & Professional Development

  • Serves as Tier 2 customer support by responding to complex programmatic and technical inquiries received through telephone, email, and text messaging.

  • Provides additional customer assistance during TOPS processing season and other periods of increased service demand.

  • Facilitates Virtual Office Hour sessions.

  • Develops and maintains proficiency with agency information systems, including the Student Transcript System, Student Hub, Louisiana Award System, and other agency databases.

  • Participates in ongoing professional development to maintain current knowledge of technology, agency programs, and changing responsibilities., Work Schedule: Monday through Friday business hours, with frequent evening, weekend, overnight, and statewide travel required to support outreach activities and agency events.

Security Requirements: Annual safety training is required for all state employees. Access to driving records is required for employees operating state-owned or state-contracted vehicles.

Physical Demands: The position is housed in a standard office environment. Typing is essential to completing assigned duties. Minimal standing, stooping, and light lifting (up to 20 pounds) may be required. Reasonable accommodations are available for individuals unable to meet the physical requirements of the position.

Work Environment: The position is based in the Board of Regents offices located in the Galvez Building in downtown Baton Rouge. Employees work in a professional office environment consisting of private offices, cubicles, and conference rooms equipped with standard office technology. Laptop computers may be provided to support off-site work and outreach activities.

Travel Requirements: Frequent statewide travel, including evenings, weekends, and overnight travel, is required to support outreach events, presentations, conferences, and other agency initiatives., Applicants qualifying based on college training or receipt of a baccalaureate degree will be required to submit an official college transcript to verify credentials claimed prior to appointment. MINIMUM QUALIFICATIONS

Education

  • Baccalaureate degree from a regionally accredited institution

Experience

  • Three (3) years of relevant professional experience in college or academic advising, career advising or coaching, career services, counseling, case management, or a related field.

Technical Competencies

  • Experience maintaining digital calendars, scheduling systems, and databases.

  • Ability to collect, analyze, and report outreach-related data.

  • Strong organizational and project coordination skills.

  • Ability to provide technical assistance and customer support using multiple communication platforms.

  • Proficiency with Microsoft Office 365 applications.

PREFERRED QUALIFICATIONS

Preference may be given to candidates possessing:

  • Master’s degree from a regionally accredited institution.

  • Bilingual proficiency in English and Spanish.

  • Advanced computer proficiency and the ability to work independently with technology.
