- Greet patients warmly, verify their appointment details, and assist with check-in procedures using various Electronic Health Record (EHR) systems.
- Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls appropriately.
- Conduct recall campaigns to re-engage patients
- Conduct insurance verification processes, including Medicare and Medicaid checks, ensuring accurate coverage information.
- Schedule patient appointments efficiently while coordinating with clinical staff to optimize clinic flow.
- Review and update medical records, ensuring compliance with HIPAA regulations and maintaining confidentiality at all times.
- Assist with documentation review related to care plans, CPT coding, ICD-10/ICD-9/ICD coding, and billing processes to support accurate medical billing and coding efforts.
- Perform administrative duties such as filing medical records, managing office supplies, and supporting overall office management tasks.
- Maintain excellent phone etiquette and provide exemplary customer service to ensure a positive patient experience from arrival through departure.
- Support administrative functions including intake procedures, insurance authorization, and data entry using computer based programs
- Manage and engage in the patient journey

In this VITAL role, you will be the first point of contact for patients, providing exceptional customer service while managing a variety of administrative and clinical support tasks. Your ENERGETIC approach and attention to detail will ensure smooth clinic operations, accurate documentation, and a welcoming environment for all patients. This position offers an exciting opportunity to contribute to high-quality patient care through efficient patient experience management, front desk management, insurance verification, and medical records coordination. You are the Doctor’s number one go-to person. This is a high volume, fast-paced work environment., * Strong knowledge of EMR systems or fast learner in Computer systems.
- Experience in medical billing, coding (ICD-10/ICD-9/CPT), insurance verification, and health information management is helpful, but not necessary.
- Familiarity with HIPAA regulations to ensure patient privacy and data security.
- Excellent communication skills with the ability to mutli-task and demonstrate professional phone etiquette.
- Bilingual abilities are highly valued for serving diverse patient populations effectively.
- Prior clinic or medical office experience is preferred, but not necessary.
- Strong computer skills including typing (10 key typing), proficiency in Microsoft Office applications, and experience with various EHR systems.
- Exceptional organizational skills for managing medical records, documentation review, filing, and office management tasks.
- Ability to work efficiently in fast-paced environments while maintaining attention to detail in documentation review and administrative support functions.
