Job description

Working within a specialist aviation aftermarket business, the Repairs Administrator provides administrative and coordination support to the Repairs team, helping to ensure the accurate processing, tracking and management of aircraft component repairs and Used Serviceable Material (USM) activities.

The role is responsible for maintaining accurate records, updating internal systems, coordinating documentation, communicating with customers and suppliers, and supporting reporting and invoicing activities throughout the repair cycle. The Repairs Administrator plays an important role in ensuring information is recorded correctly, deadlines are monitored, and stakeholders receive timely updates.

In addition, the Repairs Administrator will provide occasional administrative support to the Sales and Purchasing teams during busy periods or in support of wider business priorities, helping to maintain efficient workflows across the organisation., Repairs Administration & Coordination

  • Maintain accurate repair records, quotations, shop reports, system updates and invoicing documentation throughout the repair process.
  • Assist with the creation, processing and administration of repair orders and quotations within the ERP system (e.g. AvSight).
  • Monitor repair order status and support the Repairs team by tracking key dates, turnaround times and outstanding actions by liaising directly with the workshops.
  • Support the preparation of customer updates, repair status reports and repair-related correspondence.
  • Assist with prioritising and monitoring urgent or AOG-related activities by ensuring information is communicated promptly to relevant stakeholders.

Customer & Vendor Support

  • Act as a first point of contact for routine customer and supplier enquiries, directing requests to the appropriate team members where required.
  • Liaise with repair vendors to obtain documentation, quotations, status updates and estimated completion dates.
  • Support the Repairs team in maintaining strong relationships with customers and vendors through professional and timely communication.
  • Escalate delays, discrepancies or documentation issues to the Repairs Manager as appropriate.

General Administration Support

  • Produce and maintain departmental reports, spreadsheets and performance information.
  • Support data accuracy and integrity across company systems and records.
  • Assist with audit preparation by ensuring documentation is complete and readily accessible.
  • Carry out general departmental administration including filing, document control and record management.
  • Help monitor shared inboxes and route enquiries to the appropriate team members.
  • Support internal departments with ad hoc administrative tasks and requirements as business needs dictate.

Requirements

This role would suit a highly organised and detail-oriented individual who takes pride in accuracy and enjoys working in a fast-paced environment. Previous aviation experience is not required, as full training will be provided. The successful candidate will contribute to maintaining high levels of customer service, operational performance and data integrity across the business., * Attention to Detail: Strong focus on accuracy, documentation control and data integrity.

  • Organisation & Time Management: Able to manage multiple priorities and maintain accurate records in a fast-paced environment.
  • Communication: Professional written and verbal communication skills when dealing with customers, suppliers and colleagues.
  • Customer Service Focus: Responsive and helpful approach to supporting both internal and external stakeholders.
  • IT & Systems: Competent user of Microsoft Office applications, particularly Outlook and Excel. Experience using ERP systems would be advantageous but is not essential.
  • Administrative Experience: Previous experience in administration, coordination or customer support roles.
  • Problem Solving: Able to identify issues, follow up outstanding actions and support timely resolution.
  • Teamwork: Collaborative approach and willingness to support colleagues and other departments when required.
  • Adaptability: Flexible and able to respond to changing priorities, including urgent operational requirements.
  • Commercial Awareness: Basic understanding of purchasing, sales or operational processes would be advantageous.

QUALIFICATIONS

  • Previous experience in an administrative, coordination or customer support role.
  • GCSEs including Mathematics and English - Grades 4-9 (A*-C) or Functional Skills Level 2.
