Job description
Position Summary TEKsystems is seeking a highly organized, dependable, and customer-focused Inspection Coordinator to support our clients Wall, NJ branch. This role is responsible for coordinating and managing inspection activities, ensuring timely scheduling, customer communication, subcontractor coordination, and accurate documentation. The ideal candidate demonstrates exceptional attention to detail, strong organizational skills, and a proven track record of reliability, punctuality, and accountability. The Inspection Coordinator plays a critical role in delivering an outstanding customer experience by ensuring inspections are scheduled efficiently, completed on time, and properly documented. This position also provides administrative support for smaller installation projects and assists with branch phone coverage. Key Responsibilities Inspection Scheduling & Coordination
- Review and validate inspection lists to ensure accuracy and confirm inspection requirements prior to scheduling.
- Verify customer information, inspection dates, service status, and outstanding account balances.
- Proactively contact customers to schedule and confirm inspection appointments.
- Coordinate inspection activities with internal teams and subcontractors.
- Monitor inspection schedules and make adjustments as necessary to meet customer and operational requirements.
- Track inspection completion and ensure all required reports are submitted within 24 hours of inspection completion.

Follow up with subcontractors to obtain inspection reports, invoices, and supporting documentation. Customer Service & Communication
- Serve as a primary point of contact for customers regarding inspection scheduling and related inquiries.
- Maintain professional and timely communication with customers, vendors, subcontractors, and internal stakeholders.
- Resolve scheduling conflicts and escalate issues when appropriate.

Deliver a responsive and positive customer experience throughout the inspection process. Administrative Support
- Assist the Project Manager with scheduling and coordination of smaller installation projects.
- Maintain accurate records within company systems and databases.
- Generate reports and provide updates on inspection status and completion metrics.
- Support branch operations through administrative and coordination activities as needed.
Requirements
- High school diploma or equivalent.
- 2+ years of experience in scheduling, coordination, administrative support, customer service, or a related field.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications, including Outlook, Excel, and Word.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Strong attention to detail and problem-solving abilities. Preferred
- Experience coordinating field service, inspections, construction, security, fire/life safety, or service operations.
- Experience working with subcontractors and external vendors.

Pay and BenefitsThe pay range for this position is $18.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
