Job description
We are seeking a highly organised, proactive and digitally confident supervisor to help strengthen the way our organisation works, grows and engages with people. This is a hands-on role combining operational oversight, systems improvement, volunteer coordination, learner and client engagement, digital communications and community-facing activity.
The successful candidate will take ownership of day-to-day priorities, improve processes and workflows, support colleagues and volunteers, and help grow and retain our client and learner base. You will be expected to work effectively with limited supervision, exercise sound judgement and deliver consistently to deadlines.
CORE RESPONSIBILITIES
Coordinate day-to-day administrative and operational activities and help ensure priorities are completed efficiently.
Create, maintain and continuously improve organisational systems, procedures, processes and workflows.
Identify operational gaps, bottlenecks and inefficiencies and implement practical, proportionate improvements.
Maintain effective systems for enquiries, referrals, registrations, learner participation, client engagement, follow-up and outcomes.
Support management with planning, monitoring, reporting and implementation of organisational priorities.
Recruit, onboard, coordinate and mentor volunteers in line with organisational procedures and role requirements.
Help develop a positive culture of accountability, teamwork, learning and professional conduct.
Grow and retain the client and learner base through responsive enquiries, follow-up, outreach, registrations and relationship-building.
Build productive relationships with businesses, community organisations, referral partners, learners, clients and other stakeholders.
Support community outreach, events, networking, partnership development and appropriate business-development activity.
DIGITAL, MARKETING & COMMUNICATIONS
Use Microsoft 365 confidently, including Word, Excel, Outlook, PowerPoint and Teams.
Use Google Workspace confidently, including Gmail, Drive, Docs, Sheets, Forms, Calendar and Meet.
Create and maintain spreadsheets, trackers, forms, reports, presentations and other operational documents.
Use digital tools to improve efficiency, record-keeping, communication and service delivery.
Plan, create, schedule and manage appropriate social media and digital communications.
Promote programmes, training opportunities, events and organisational achievements to B2B and B2C audiences.
Requirements
Strong organisational, supervisory and administrative capability, with the ability to coordinate people, tasks and priorities.
Experience of creating, managing or improving operational systems, processes or workflows.
Good working knowledge of Microsoft 365 and Google Workspace.
Strong general digital confidence and the ability to learn new systems quickly.
Experience or demonstrable capability in social media marketing, digital communications or audience engagement.
Excellent written and verbal communication, customer-service and stakeholder-engagement skills.
Ability to recruit, coordinate, support and mentor volunteers effectively.
Ability to work across commercial and community-driven environments and understand the differing needs of both.
Ability to prioritise competing responsibilities, remain effective under pressure and deliver to agreed deadlines.
Strong attention to detail, sound judgement and a methodical approach to records and information.
Ability to work independently with limited supervision, use initiative and contribute constructively as part of a team.
Understanding of confidentiality, professional boundaries, workplace ethics and responsible handling of information.
Reliability, punctuality and a consistently professional standard of presentation and conduct when representing the organisation.
Ability to travel to local meetings, outreach activities and partner locations when reasonably required.
DESIRABLE
Previous experience in an operations, office-management, supervisory or team-coordination role.
Experience within education, training, employability, charity, social enterprise or community development.
Experience of learner recruitment, client engagement, outreach, events or partnership development.
Experience using CRM, learner-management, project-management or similar digital systems.
