Job description

Reporting to the Executive Director, Principal Gifts, the Coordinator, Principal Gifts provides strategic and administrative support for the cultivation, solicitation, and stewardship of the College’s principal donors (those making gifts of $1 million and above). The Coordinator manages executive briefings, donor visit logistics, presidential meeting materials, and follow-up activities to deliver exceptional, donor-centered experiences while supporting principal gift strategies. Working collaboratively with the Office of the President, Donor Relations, Prospect Research, and other Institutional Advancement teams, the Coordinator maintains prospect pipelines and Salesforce CRM records, tracks proposals and stewardship activities, and ensures effective coordination of principal gift operations. Representing the College with professionalism, discretion, and exceptional organizational skills, the Coordinator plays a key role in advancing relationships with the College’s most significant philanthropic partners.

This position is represented for purposes of collective bargaining by SEIU.

Upon successful completion of the onboarding period, this position offers the flexibility to work remotely for up to two days per week., * 60% - Strategy Support for Principal Gift Cultivation, Solicitation and Stewardship - Provide detailed and energetic support for principal gift donor engagement and cultivation by scheduling and coordinating meeting logistics, tracking follow-up actions, and synchronizing with campus partners as needed. Help key executives prepare for donor meetings by drafting, editing and refining high-level communications including briefings, talking points, donor-facing emails and messages. Support successful donor meetings and visits through in-person attendance focused on seamless logistics, while maintaining tact, discretion and diplomacy at all times in front of donors. Assist in planning and executing bespoke, high-tough campus visits and presidential events tailored specifically for principal gift prospects. Collaborate with Prospect Research to request, gather, and compile preliminary donor research, background materials, and event bio-sheets for senior leadership prior to visits. Manage data and information flow between Institutional Advancement, the Office of the President, OSI, Strategic Engagement, faculty and other internal partners to support donor strategy development. Support effective collaboration between all offices to ensure alignment and effective execution of principal giving-level donor engagement strategies. - (Essential)

  • 30% - Coordination and Administrative Support for Principal Gift - Coordinate the calendar of the Exec. Dir. of Principal Gifts and schedule internal meetings for the Principal Gifts team, often collaborating closely with the Executive Assistant to the Vice President of Institutional Advancement, the Executive Assistant to the President of the College, and other Development Coordinators. Track the lifecycle of principal gift proposals and gift agreements; assist in monitoring custom stewardship plans and reporting deliverables in coordination with Donor Relations. Manage data entry into Salesforce with a careful eye toward data hygiene, confidentiality, and compliance with IA’s practices and protocols. Process expense reports, travel reimbursements, credit card reconciliations, and vendor invoices for the ED Principal Gifts in accordance with institutional finance policies. - (Essential)
  • Other IA Support - Support IA tentpole events and other on campus activities. Serve as a College ambassador to alumni, parents, donors, and other supporters at events, meetings, and visits, as needed.

Requirements

  • Bachelor’s degree in liberal arts, communications, data management, or a related field relevant to the position’s duties, or an equivalent combination of education and experience.
  • Three years of administrative support experience, ideally in advancement, executive operations, high-end hospitality, or a related field involving executive support, relationship management, event coordination, and confidential stakeholder engagement.

Preferred Qualifications

  • Previous experience with constituent relationship management (CRM) systems (e.g., Salesforce).

  • Travel reimbursement, EXPECTED HIRING RANGE: $20.19/hr-$26.00/hr

In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
