The Office Operations & IT Coordinator is responsible for supporting efficient business operations across administrative, technology, and employee support functions. This position manages company technology assets, software access, documentation, and operational processes while helping ensure employees have the tools and resources needed to be successful. The ideal candidate is organized, proactive, technically proficient, and comfortable working across multiple functional areas at the Pittsburgh office. This position requires the ability to lift and ship laptop equipment and office materials up to 25 pounds occasionally. This position also requires the ability to manage and organize company equipment inventory and shipping logistics. Employment may be contingent upon successful completion of a background check consistent with applicable laws and customer requirements., 1. Office Administration & Operations
- Maintain internal documentation, policies, procedures, and operational records.
- Organize and maintain company wiki content, shared drives, and virtual office documentation.
- Assist with records management, retention activities, and archiving of historical company files.
- Coordinate company-wide administrative support activities.
- Schedule meetings and support meeting logistics as needed.
- Assist with operational projects and continuous process improvement initiatives.
- Maintain organized virtual office folders and ensure information is current, accessible, and properly structured.

Employee Onboarding & Offboarding * Coordinate employee onboarding activities, including account setup, technology provisioning, equipment assignments, and required documentation. * Manage employee offboarding processes, including account deactivation, equipment retrieval, and administrative record updates. * Maintain onboarding and offboarding checklists and ensure timely completion of required tasks. * Serve as a point of contact to support employees through onboarding and transition processes.

Technology Asset Management * Maintain inventory records for company-issued laptops, peripherals, and technology assets. * Track equipment assignments, replacements, repairs, and lifecycle status. * Coordinate laptop provisioning, shipping, returns, and replacement activities. * Ensure asset inventories, assignment records, and related documentation remain accurate and up to date. * Support procurement and tracking of technology equipment as needed.

User Access & Software Administration * Administer employee access to approved business applications and software platforms. * Create, modify, and deactivate user accounts across internal systems. * Maintain user permissions and access records in accordance with company policies. * Assist with periodic access reviews and permission audits. * Monitor software license utilization and coordinate subscription management activities. * Help ensure efficient use of business applications and technology resources.

IT Vendor Coordination * Coordinate with external IT service providers to support troubleshooting, system changes, and employee technology needs. * Track technology support requests and assist with issue resolution. * Maintain documentation related to technology systems, vendors, and support processes. * Support implementation of approved technology changes and improvements.

Compliance & Security Support * Assist with administrative aspects of cybersecurity, compliance, and governance initiatives. * Support user access reviews and related documentation. * Track policy acknowledgments and compliance requirements. * Maintain records and documentation required for audits, assessments, and compliance activities. * Help promote adherence to company security policies and operational procedures., * 15-20 hours per week with flexibility; occasional increases during onboarding cycles. * Availability during standard business hours for timely response to provisioning requests. * Ability to work independently with minimal supervision.

Requirements
- Associate’s degree or equivalent professional experience.
- 2+ years of experience in office administration, operations coordination, technology administration, or a related role.
- Strong organizational and time-management skills with exceptional attention to detail.
- Experience managing documentation, records, and administrative workflows.
- Proficiency with Microsoft 365 and common business productivity applications.
- Ability to manage multiple priorities and maintain confidentiality.
- Strong written and verbal communication skills.
- Demonstrated problem-solving skills and a customer-service mindset.
Preferred
- Experience working in a technology, software, SaaS, cybersecurity, or government contracting environment.
- Experience administering user accounts and permissions within business applications.
- Familiarity with IT asset management and technology inventory practices.
- Experience supporting remote or distributed teams.
- Knowledge of cybersecurity, compliance, or information security best practices.
- Experience working with external IT managed service providers (MSPs).
