Job description

The Warehouse Inventory Control Specialist is responsible for maintaining accurate inventory levels and records to support efficient warehouse operations. This position requires a hands-on inventory professional who is comfortable working both on the warehouse floor and with inventory data and reporting., Inventory Management & Control

Maintain accurate inventory records using warehouse management systems (WMS) and inventory control software.

Perform daily, weekly, and monthly cycle counts to verify inventory accuracy.

Conduct full physical inventory counts and inventory audits as required.

Compare physical inventory against system records and identify variances.

Investigate inventory discrepancies and determine the root cause of shortages, overages, misplacements, and incorrect quantities.

Make appropriate inventory adjustments while following company procedures and approval requirements.

Monitor inventory levels and identify potential shortages, excess inventory, or slow-moving products.

Assist with inventory reconciliation and maintain accurate records of all inventory transactions.

Verify product quantities, item numbers, labels, locations, and lot or serial numbers when applicable.

Ensure inventory is properly organized and stored in designated warehouse locations.

Excel Reporting & Data Analysis

Run, generate, and analyze inventory reports using Microsoft Excel and warehouse management systems.

Use Excel to track inventory levels, cycle count results, adjustments, discrepancies, and inventory accuracy.

Review inventory data to identify trends, recurring discrepancies, and potential process issues.

Maintain spreadsheets, inventory logs, and detailed tracking reports.

Utilize Excel functions such as sorting, filtering, basic formulas, and data organization to analyze inventory information.

Prepare inventory reports and provide accurate updates to management regarding inventory status and discrepancies.

Assist with identifying opportunities to improve inventory accuracy, reporting, and warehouse processes.

Cycle Counts & Inventory Audits

Plan and perform cycle counts according to established schedules and company procedures.

Conduct targeted counts based on high-value, high-volume, or problem inventory items.

Perform inventory audits and reconcile physical counts with system quantities.

Document count results and investigate any significant variances.

Work with warehouse personnel to identify the cause of inventory discrepancies.

Follow up on corrective actions to help prevent recurring inventory issues.

Maintain accurate documentation of all inventory counts, audits, adjustments, and findings.

Discrepancy Investigation & Resolution

Research inventory discrepancies by reviewing system transactions, receiving records, shipping documents, transfers, and warehouse locations.

Identify potential causes of inventory variances, including receiving errors, shipping errors, mispicks, incorrect put-away, damaged goods, or data entry errors.

Collaborate with receiving, shipping, picking, and warehouse teams to resolve inventory discrepancies.

Communicate findings and recommended corrective actions to management.

Ensure inventory corrections are properly documented and completed in a timely manner.

Warehouse Equipment & Hands-On Responsibilities

Operate a cherry picker/order picker and reach truck safely and efficiently to access inventory stored at various warehouse levels.

Retrieve, verify, count, and relocate inventory as needed to complete cycle counts and audits.

Perform inventory checks throughout the warehouse, including rack locations and elevated storage areas.

Assist with product movement and location verification when necessary.

Follow all warehouse safety procedures and equipment operating guidelines.

Maintain a clean, organized, and safe work environment.

Quality Control

Ensure products are properly handled, stored, labeled, and identified.

Verify inventory accuracy, product condition, item numbers, and quantities.

Investigate damaged, missing, or mislabeled inventory and report findings.

Assist in identifying and implementing best practices to improve inventory accuracy and product handling.

Support compliance with company inventory control and quality standards.

Coordination & Communication

Act as a liaison between inventory control, warehouse operations, receiving, shipping, procurement, and logistics teams.

Coordinate the tracking and verification of incoming and outgoing goods.

Communicate inventory discrepancies and operational concerns to the appropriate departments.

Provide management with regular updates regarding inventory accuracy, audit results, and unresolved discrepancies.

Work collaboratively with warehouse personnel to improve inventory accuracy and overall workflow.

System & Process Management

Maintain and update inventory management systems and databases.

Accurately enter inventory adjustments, transfers, receipts, and other transactions.

Identify opportunities to improve inventory control procedures and warehouse processes.

Assist in developing and maintaining standard operating procedures (SOPs) related to inventory control.

Recommend process improvements that increase inventory accuracy and operational efficiency.

Ensure inventory transactions are completed accurately and in a timely manner., * How many years of experience do you have in inventory control, and what inventory systems or WMS/ERP software have you used?

Requirements

The ideal candidate will have experience beyond basic physical inventory counting. Candidates must be able to perform cycle counts and inventory audits, run and analyze inventory reports using Microsoft Excel, investigate inventory discrepancies, and work closely with warehouse, shipping, receiving, procurement, and operations teams to identify and resolve inventory issues.

This position requires strong attention to detail, analytical skills, and the ability to operate warehouse equipment, including a cherry picker and reach truck. The successful candidate will be comfortable balancing physical inventory responsibilities with computer-based reporting, data entry, and inventory analysis., Bilingual in English and Spanish is REQUIRED.

High school diploma or equivalent required; an associate or bachelor’s degree in business, logistics, supply chain management, or a related field is a plus.

Previous experience in inventory control, warehouse operations, or inventory management is strongly preferred.

Proven experience performing cycle counts, physical inventory counts, and inventory audits.

Experience investigating and resolving inventory discrepancies and identifying root causes.

Experience running and analyzing inventory reports using Microsoft Excel.

Strong working knowledge of Microsoft Excel, including sorting, filtering, formulas, spreadsheets, and data organization.

Experience working with Warehouse Management Systems (WMS), ERP systems, or inventory management software.

Experience using RF scanners, barcode scanners, or handheld inventory devices.

Previous experience operating a cherry picker/order picker is required or strongly preferred.

Previous experience operating a reach truck is required or strongly preferred.

Ability to safely work at various warehouse heights and access elevated inventory locations.

Strong attention to detail and a high level of accuracy.

Excellent analytical and problem-solving skills.

Ability to identify discrepancies and follow through with investigations and corrective actions.

Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced warehouse environment.

Effective verbal and written communication skills.

Ability to work independently while also collaborating effectively with warehouse and office teams.

Must be comfortable performing both hands-on warehouse inventory work and computer-based reporting and data analysis.

Ability to lift, move, and handle inventory as required by the position.

Must be dependable, punctual, detail-oriented, and safety-conscious.

IDEAL CANDIDATE PROFILE

The ideal candidate is an experienced Inventory Control Specialist who understands that inventory control involves more than simply counting products. This individual should be equally comfortable working on the warehouse floor performing cycle counts and audits, operating a cherry picker and reach truck, investigating inventory discrepancies, and working at a computer to run Excel reports and analyze inventory data.

The successful candidate will be highly organized, detail-oriented, bilingual in English and Spanish, and able to communicate effectively with warehouse, shipping, receiving, procurement, and management teams to maintain accurate inventory and improve overall warehouse efficiency.
