The Applications Coordinator serves as a key operational leader within the Information Systems team, supporting the effective implementation, support, and optimization of clinical, business, and operational software applications across the health system. Acting as a liaison between analysts, IT teams, vendors, and end-user departments, this role ensures projects and support activities are executed efficiently and aligned with organizational goals. The Coordinator is the first line of escalation for application-related issues and provides guidance and direction to Applications Analysts, while also supporting the Applications Manager in performance reviews, resource planning, and project coordination., * Assist with planning, coordinating, and implementing clinical, business, and operational software applications.
- Act as a liaison between organizational departments and IT to gather requirements, resolve issues, and facilitate timely solutions.
- Provide user training and ongoing support to ensure effective use of applications to analysts and end users.
- Serve as the first point of escalation and coordination for complex application tasks and issues.

- Serve as a subject matter expert in one or more application areas under the team’s scope.

Quality Assurance and Security:
- Participate in quality assurance activities, including confirming analyst led test scenarios are appropriate and detailed. user workflows.
- Validate that application functionality aligns with end-user workflows during testing phases.
- Manage system security by administering user access rights and monitoring compliance with security policies.
- Support incident response efforts by coordinating with security and compliance teams as needed.
- Assist with audit readiness activities and access reviews to ensure compliance with organizational protocols and regulatory standards (e.g., HIPAA).
Communication and Collaboration:
- Coordinate communications regarding application updates, changes, and downtime with stakeholders to minimize disruptions.
- Collaborate with vendors and internal IT teams to troubleshoot and escalate application issues as necessary.
- Serve as a strategic liaison between departments, analysts, IT teams, and vendors to align support and implementation efforts.
- Document workflows, processes, and training materials tailored to healthcare users.
- Act as the point of communication and escalation for analysts, ensuring issues are addressed efficiently.
- Participate in meetings as a subject matter expert to provide clarity, direction, and context on technical or operational needs.
Project and Vendor Coordination:
- Support infrastructure architecture efforts related to application migrations and technology upgrades.
- Collaborate with the Applications Manager and PMO to assign appropriate analysts to projects and task.
- Track and report on project progress and system status; escalate risks or delays proactively.
- Help prioritize workload based on clinical and operational urgency in collaboration with project stakeholders.
- Contribute to the development of project documentation, timelines, and training deliverables.
- Participate in departmental initiatives to leverage technology for improved patient care.

- Collaborate with vendors to gather budgetary and project quotes as part of project and vendor coordination responsibilities., Associate complies with the following organizational requirements:

Completes mandatory education, annual competencies and department specific education within established timeframes.

Maintains license/certification, registration in good standing throughout fiscal year.

Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.

Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.

Adheres to regulatory agency requirements, survey process and compliance.

Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.
Requirements
- Bachelor’s degree preferred and/or equivalent experience in Computer Science, Information Technology, Health Informatics, or related field.
- Minimum of 3 years’ experience supporting healthcare applications in a hospital or health system environment.
Knowledge & Skills:
- Strong understanding of healthcare operations, clinical and business workflows, and regulatory requirements (e.g., HIPAA).
- Deep understanding of HL7 and flat file integrations.
- Proficiency in application support, user training, quality assurance, and security administration.
- Effective verbal and written communication skills to work with clinical staff, IT teams, and vendors.
- Detail-oriented with excellent organizational and problem-solving abilities.
- Familiarity with infrastructure architecture concepts and technology migration processes.
- Ability to manage multiple projects and collaborate within cross-functional teams.
- Demonstrated commitment to customer service and continuous improvement.
WORKING CONDITIONS
- Primarily office-based with extensive computer use.
- May experience mental or visual fatigue due to prolonged screen time.
PHYSICAL DEMANDS
- Physical ability to sit or stand for extended periods and occasionally lift up to 30 pounds.
