Job description

  • Review change order requests and determine whether work falls outside the original contract scope.
  • Verify that all required documentation is included, such as emails, photographs, drawings, RFIs, field directives, and signed client field tickets.
  • Prepare accurate pricing for labor, materials, freight, tariffs, installation, and applicable markups.
  • Coordinate with design, purchasing, logistics, installation teams, and manufacturing partners to obtain pricing and lead times.
  • Prepare and submit professional change order proposals to clients.
  • Track the status of all change orders, including pending, approved, rejected, billed, and collected items.
  • Follow up with clients to obtain approvals and negotiate change orders when necessary.
  • Maintain accurate records in Monday.com, ComputerEase, Clearstory, DocuSign, Microsoft Excel, and other project management platforms.
  • Coordinate approved change orders with Accounts Receivable and Accounts Payable while ensuring ComputerEase remains current.
  • Track internal change orders resulting from factory, design, or installation issues.
  • Prepare monthly change order reports and assist with project financial closeout.
  • Update project communication channels daily with installation team field tickets and project updates.
  • Schedule and lead project recap meetings with clients to review Site Change Orders (SCOs) and reconcile outstanding change order accounts.

Requirements

This is a highly collaborative role requiring strong construction knowledge, estimating expertise, exceptional organizational skills, and the ability to work closely with clients, project managers, designers, installers, purchasing, factories, logistics, and accounting teams., * Minimum of 5 years of experience in construction change orders, estimating, contract administration, project controls, or commercial project management.

  • Experience working for a general contractor, subcontractor, cabinetry, millwork, interiors, or specialty construction company.
  • Strong understanding of construction contracts, scope of work, drawings, RFIs, field directives, and project closeout procedures.
  • Ability to prepare detailed labor and material estimates and negotiate change orders with clients.
  • Proficiency with Microsoft Excel, Word, Outlook, and document management systems.
  • Excellent organizational, communication, negotiation, and follow-up skills.
  • Ability to manage multiple projects, priorities, and deadlines in a fast-paced environment.
  • Fluent in English and Spanish is required.

Preferred

  • Experience with cabinetry, architectural millwork, luxury residential, multifamily, condominium, hospitality, or high-end commercial construction.
  • Knowledge of construction accounting, billing, international procurement, freight, and logistics.
  • Experience using ComputerEase, Monday.com, Clearstory, Procore, DocuSign, or similar construction management software.
