Job description

The Onboarding Experience Specialist is responsible for coordinating and managing key pre-employment onboarding activities, including background checks, drug screening, I-9 documentation, and Employee Health clearance. This role ensures compliance with regulatory requirements, delivers seamless onboarding experience for candidates, and partners with internal teams and external vendors to support timely and accurate completion of onboarding tasks.

This position will require onsite presence at least once a week.

Responsibilities :

Background & Drug Screen Coordination: Initiate and monitor background checks and drug screening processes for new hires. Communicate with candidates regarding requirements, timelines, and next steps. Collaborate with third-party vendors to resolve issues and ensure timely completion.

I-9 Documentation: Review and verify employment eligibility documentation in compliance with federal regulations. Follow up with candidates to ensure timely completion of I-9 requirements. Maintain accurate records in HR systems for audit readiness.

Employee Health Clearance: Coordinate Employee Health clearance process. Communicate requirements to candidates and ensure compliance with organizational standards. Partner with Employee Health team to track completion and resolve any issues.

Initial Point of Contact: Serve as the primary contact for candidates regarding onboarding requirements and status updates. Provide clear, timely communication to ensure a positive onboarding experience. Provide support for candidates experiencing login issues, including password resets, to facilitate timely completion of onboarding tasks.

ServiceNow Case Management: Respond to onboarding-related inquiries via ServiceNow or other case management systems. Research and resolve operational cases promptly to support candidates and hiring managers.

Collaboration and Communication: Work closely with HR Service Delivery, Talent Acquisition, Data Management, and Employee Health teams to ensure smooth onboarding processes. Share best practices and provide feedback to improve team effectiveness.

Data Management and Reporting: Run and work onboarding reports to identify outstanding items and ensure timely resolution. Analyze onboarding data to identify trends and recommend process improvements.

Exceptional Candidate Experience: Deliver professional, reliable, and customer-focused support throughout the onboarding process. Address inquiries promptly and effectively, demonstrating active listening and empathy.

Process Improvement Evaluation: Identify areas for improvement within onboarding workflows. Collaborate with peers and management to implement changes that enhance efficiency and candidate experience.

Project Management: Actively participates in projects designed to increase efficiency and promote teammate experience.

Training Material Development: Develop and maintain Standard Operating Procedures (SOPs) for onboarding processes. Create training modules and reference materials for HR team members.

Confidentiality and Data Security: Handle sensitive teammate information with the utmost confidentiality and adhere to data security protocols. Ensure compliance with data protection regulations and company policies.

Requirements

? Associates’ degree or equivalency as outlined under experience., ? If an Associate’s degree - no experience required.

? If a High School diploma or GED: Four (4) years of relevant experience.

Knowledge/Skills/and Abilities Requirements:

? Excellent organizational skills, strong attention to details, and process oriented.

? Excellent communication and interpersonal skills.

? Proficient with excel and possess the capabilities of being able to complete V-Lookups to obtain data when needed.

? Demonstrated ability to maintain a confidential work environment, including handling issues with discretion, and good judgement.

? Ability to manage workload and achieve results with minimal supervision.
