Job description
As Administrative Officer - Technical Sales Support & Logistics, you are a key link between customers, suppliers and your colleagues. As you gain experience, you can also become more involved in logistics follow-up and the administrative support of technical projects.
- Process and follow up customer orders in Microsoft Dynamics Navision.
- Prepare quotations, order confirmations and purchase orders.
- Place orders with suppliers and actively follow up delivery dates.
- Support customers with questions about parts, spare parts and service.
- Request prices and quotations from suppliers.
- Follow up transport, deliveries, incoming goods and stock information.
- Work closely with sales, project managers, engineers and technicians.
- Occasionally provide practical support with a delivery or in the warehouse.
The practical logistics component is limited - around 5 to 10% of the role - but it reflects the way Buhlmann works: colleagues do not constantly draw a line around where one job description ends and another begins.
Once you know the organisation well, your responsibilities can expand towards project support, for example project files in SharePoint, material orders, delivery follow-up and administrative preparation for invoicing.
Above all, we are looking for someone who is administratively strong, takes responsibility and shows initiative.
Requirements
You preferably have relevant experience in order administration, purchasing, sales support, customer service, logistics administration or a technical sales support role. You do not need to be a technical specialist, but an interest in a technical environment is important.
- Experience with an ERP system; knowledge of Navision is a strong advantage. SAP or a comparable system also provides a good basis.
- You work accurately and in a structured way and can keep several files, deliveries and deadlines under control at the same time.
- You take initiative: if a supplier needs to be chased or a file needs further investigation, you do not simply wait.
- You are collegial and practically minded and do not mind occasionally helping with a delivery.
- You are fluent in Dutch and can communicate professionally in English. French is a clear advantage; German is a welcome extra.
Benefits & conditions
| Zaventem | €3,500-€4,500 gross/month | 12 additional days off (ADV) | Technical B2B environment |
A broad administrative role in a small technical company, with short communication lines, early responsibility and scope to develop your role further., You will receive a thorough induction and knowledge transfer from experienced colleagues. Because Buhlmann is a small organisation, you can become autonomous relatively quickly, take responsibility and broaden your role as you get to know the customers, suppliers, products and internal processes.
- A varied role combining administration, customer and supplier contact, logistics and technical project support.
- Short communication lines and direct contact with different disciplines and management.
- Scope to take initiative and develop within the role without having to wait for a formally new position.
- Gross monthly salary of approximately €3,500 to €4,500, depending on experience.
- €135 net expense allowance per month.
- Meal vouchers.
- Hospitalisation insurance.
- Group insurance with a 3% employer contribution.
- 40-hour working week with 12 additional days off (ADV).
- Possible CLA 90 bonus of approximately €3,300 in profitable years; not contractually guaranteed.
A fast and personal recruitment process
No endless interview rounds. Buhlmann and Profile Group deliberately keep the process short, transparent and efficient.
- Teams interview with Hans Verheij - Profile Group
- An initial discussion about your experience, motivation and expectations, with clear information about the role and Buhlmann from the outset.
- Interview with Managing Director Brice Buhlmann in Zaventem
- An in-person, substantive discussion to explore the role, the organisation and mutual expectations in more detail.
- Meet your future team members + employment offer discussion
If both sides are positive, you will meet the colleagues you would be working with and discuss the concrete employment offer.
Objective: a fast and clear process, so you quickly know where you stand.
About the company
Buhlmann is a Belgian company specialising in technical solutions for industry and public transport. Its activities include machine tools and automation, rail and tram infrastructure, rolling stock and other specialised technical applications.
What makes Buhlmann distinctive as an employer is the scale of the organisation. You will join a compact company where management, administration, sales, project managers, engineers and technicians work closely together. Communication lines are short, decisions are taken quickly and colleagues help one another when needed.
This is not a narrowly defined role in which you do exactly the same tasks for years. You start with clear responsibilities, learn the organisation and its technical activities, and are then given scope to take on additional tasks and responsibilities.
Navision, order processing and follow-up form the core of the role - but the position is clearly broader than traditional order administration.
