Job description
Support the administration, scheduling and compliance of electronic security maintenance contracts. Maintain CAFM records, coordinate PPMs, process purchase orders and support invoicing. Liaise with engineers, managers, clients and suppliers to ensure efficient service delivery. Knowledge Electronic security administration and compliance requirements. EWC policies, procedures and ISO systems. CAFM systems (JobLogic). Purchase order and invoice processes. Health & Safety legislation and guidance., Contract Administration & Scheduling Maintain service contracts, schedules and job records within JobLogic. Coordinate engineer and subcontractor activities. Monitor job progress and escalate issues. Maintain asset registers and maintenance schedules. Commercial, Procurement & Invoicing Process purchase orders and support procurement activities. Assist with quotations, invoicing and WIP reporting. Support performance and compliance reporting. Compliance & Documentation Maintain compliance records and service documentation. Support audits, training records and accreditation requirements. * Assist with permits, RAMS and certification administration. Client & Stakeholder Communication * Act as a key contact for clients, suppliers and subcontractors. Provide job updates and manage enquiries. Support the wider team as required. Health, Safety & Compliance Follow company policies, procedures and H&S requirements. Attend relevant meetings and training. Other * Travel to office locations when required. Occasional out-of-hours working may be necessary. Meet agreed departmental performance standards. Complete role-related training. Measurables & Performance Monitoring PPM administration. Overdue job management. CAFM data accuracy. Documentation quality. Client communication. Invoice and quotation support. Training and system knowledge. Key Competencies CAFM administration. Meetings * Attend department, coordination and company meetings as required.
Requirements
2+ years’ administration experience in a relevant industry. Experience using CAFM/job management systems. Microsoft Office proficiency. Experience coordinating engineers or service teams. Desirable NSI or similar security compliance knowledge. Knowledge of SFG20. Skills Strong communication skills. Excellent organisation and time management. Accuracy and attention to detail. Reporting and administration skills. Good IT and CAFM system knowledge. Relationship-building skills. Problem-solving ability. Effective record keeping.
